Administrative Assistant (Full-Time, Permanent)
Location: Fort McMurray, AB

Girls Inc. of Northern Alberta is seeking a detail-oriented and proactive Administrative Assistant to support daily operations, finance, HR, and program coordination. The ideal candidate has strong organizational skills, comfort with tech tools, and a passion for empowering girls.

To address layers of needs and challenges unique to girls ages 6-18 in Wood Buffalo, we deliver life-changing programs that are innovative, intentional, research-based, preventative, holistic, context-specific, age-appropriate, barrier-free and transformational. Our programming provides girls with the knowledge and skills needed to break free from stereotypes, create social change and be proud of who they are.
Key Responsibilities
Office & Administrative Support
- Maintain filing systems, inventory, and scheduling.
- Be responsible for AGLC coordination and reporting
- Organize meetings, take minutes, and support internal communications.
- Ensure a clean and organized office environment.
- Monitor the Executive Director’s email during her absence
- Maintain strict confidentiality
Finance & Bookkeeping
- Support payroll processes and expense tracking.
- Maintain petty cash, issue cheques, and manage vendor records.
Fundraising & Events
- Assist with organizing events/fundraisers
- Track sponsorships, volunteers, and donations.
- Support fundraising and grant reporting.
Program & Communications
- Assist with program data collection and logistics.
Qualifications
- Minimum 1 year of administrative experience, preferably in a nonprofit setting.
- Proficient in QuickBooks, Microsoft Office, Google Suite, and payroll tools like Ceridian.
- Solid communication, organizational, and problem-solving skills.
- Ability to work independently, manage time well, and adapt quickly.
- Commitment to Girls Inc.’s mission to inspire all girls to be strong, smart, and bold.
- Administrative diploma/certification(s) and/or exposure to PR work considered an asset
