The Administrative Assistant provides administrative and office support to the Executive Director and Manager, Maintenance, ensuring the effective coordination of day-to-day operations and departmental activities. Reporting to the Project Coordinator (Business Services), the position performs a broad range of administrative and technical duties, including meeting coordination, records and information management, document preparation, and operational support. The role requires strong organizational skills, sound knowledge of office practices and procedures, and the ability to manage information and administrative processes accurately, efficiently, and with a high degree of professionalism.
Essential Duties and Responsibilities:
- Provide administrative support to the Executive Director, Manager, Maintenance, and departmental staff to support the effective operation of the department.
- Coordinate calendars, meetings, appointments, travel arrangements, and related logistics.
- Prepare, format, and distribute correspondence, reports, presentations, agendas, and other business documents.
- Record meeting minutes, track action items, and support timely follow-up on key decisions and commitments.
- Maintain electronic records, filing systems, and document repositories to ensure information is accurate, organized, and accessible.
- Manage incoming correspondence and inquiries, ensuring information is routed appropriately and responded to in a timely manner.
- Support purchasing, invoice processing, timesheets, budget tracking, and other administrative and financial activities.
- Coordinate departmental events, training sessions, meetings, and special projects, providing logistical and administrative support as required.
- Contribute to the continuous improvement of administrative processes, tools, and procedures to enhance efficiency and service delivery.
Requirements:
- Diploma or certificate in Office Administration, Business Administration, or a related field. An equivalent combination of education and experience will be considered.
- Minimum three years of administrative experience supporting leaders, managers, or teams.
- Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams.
- Experience using SharePoint and electronic document or records management systems.
- Experience preparing correspondence, reports, presentations, meeting agendas, and minutes.
- Strong organizational, communication, and customer service skills with the ability to manage multiple priorities while maintaining accuracy and attention to detail.
- Demonstrated professionalism and discretion when handling confidential information.
- Experience with financial administration, purchasing, or budgeting processes is considered an asset.
- Professional administrative certifications such as CAP are considered an asset.
- Legally eligible to work in Canada
- Class 5 Driver’s Licence
Position details:
- This is a Full-time, Permanent, Non-union position, working 35 hours per week, Monday to Friday.
- Overtime and extended hours will be required based on operational needs and will be compensated as per HHB policy.
- The annual salary range for this position is $48,881 - $61,101
Working conditions:
This role is primarily performed in an office-based environment using standard office equipment, with much of the work completed while seated and frequent opportunities to move throughout the day. Occasional site visits may be required, with limited exposure to mild environmental conditions such as dust, noise, or other workplace factors. The position requires sustained visual attention, mental concentration, accuracy, and sound judgment to manage competing priorities, tight deadlines, sensitive information, and confidential matters. Work is generally performed under acceptable conditions, with occasional exposure to psychological pressures such as deadlines or repetitive tasks. Professionalism, integrity, discretion, and the ability to exercise independent judgment are essential to success in the role.
