Provide legal administrative support to two lawyers Prepare, format and finalize legal documents, including correspondence, pleadings, motion materials, affidavits, factums, briefs and other litigation documents Proofread and edit materials for accuracy, grammar, punctuation, formatting and completeness Support lawyers and law clerks with document collection, organization, follow-up and procedural research Manage the lawyer’s calendar and litigation schedule, coordinating discoveries, mediations, hearings, motions, examinations, meetings and other appearances Monitor limitation periods, court deadlines, filing requirements and service obligations Respond to telephone and email inquiries and liaise with clients, opposing counsel, court offices, experts, witnesses, vendors and internal business partners Establish, maintain, organize and update physical and electronic files Maintain accurate file information in case management software Review and process file-related payment and expense requests Use the Rules of Civil Procedure and court processes to assist with procedural steps,
document preparation and file progression Identify opportunities to improve administrative processes and support efficient legal-team workflow Provide reception relief and perform additional miscellaneous administrative duties Maintain witness, subpoena and fee lists Arrange lawyers’ files for trial access Inform witnesses of scheduled court appearances Requirements
Diploma in Legal Assistant or Law Clerk studies is considered an asset; equivalent combination of education, training and relevant litigation experience will also be considered Detailed knowledge of the Rules of Civil Procedure and familiarity with litigation processes, court forms and filing requirements is preferred Strong ability to proofread, edit and format legal documents with a high degree of accuracy and attention to detail Ability to work independently, show initiative and manage competing priorities in a quick-paced environment Strong oral and written communication skills Strong interpersonal and client service skills Ability to communicate effectively and work collaboratively within a team environment while managing responsibilities independently Adaptability and flexibility to changing priorities, deadlines and work demands Excellent organizational and priority-setting skills
