THE OPPORTUNITY
On behalf of our client, we are looking for someone who can run a life: professional, personal, and everything in between, for a private, accomplished entrepreneur and business owner. Think less “assistant,” more “chief of staff, fixer, travel agent, wardrobe stylist, pet-lover, and calm-in-the-storm,” all in one person. If you like variety, project management and providing excellence in customer service, this role is for you.
The day to day
- Managing all aspects of the principal's professional and personal life including and not limited to calendar management, correspondence, and all critical priorities.
- Project-managing the household: staff coordination, vendors, maintenance, and ad hoc projects.
- Planning and booking travel: itineraries, logistics, contingency plans.
- Managing wardrobes, packing, and thinking about the small details that make a big difference.
- Running errands and handling odd jobs: no task too small, no request too random.
- Pet management: Dogs are a central part of this family, this role requires a genuine love of animals.
- Juggling multiple projects and priorities at once without dropping the important ones.
- Being on call and ready to adapt when plans change, because they will.
- Catching whatever anything else turns out to be that day.
Who You Are
- Mature, discreet, and unshakeable. This role sees and hears things that must remain confidential at all times.
- A proactive thinker who solves problems before they're problems and proactively thinks in a customer-first mindset.
- A transparent, concise communicator:
no fluff, no rambling, just what's needed.
- Thick-skinned and even-keeled, able to take feedback and curveballs in stride without taking it personally.
- Comfortable with ambiguity, multiple moving parts, and operating in the grey. This role must be self-lead.
- Trustworthy to the core, with a confiding nature.
Qualifications
- Minimum 5 years' experience in a similar role, or a background in hospitality / customer service.
- Valid Class 5 driver's license, a clean driver's abstract, and comfort operating a vehicle as part of the role.
- Valid Canadian passport and the ability to travel internationally on short notice.
- Highly competent with everyday software, Microsoft Suite and Apple products alike.
- Flexible work schedule and able to shift around evenings, weekends, and last-minute changes as needed.
The Fine Print
- On-site, splitting time between multiple locations, sometimes throughout the day.
- On-call availability required, this is not a 9 to 5 job.
