We are growing and looking for talented people to strengthen our dynamic team.Reporting directly to the Principal / Creative Director, the Office Manager / Operations Admin is the operational backbone of our South Edmonton office. This senior, multi‑hat role combines administrative leadership, accounts receivable, client account management, light project coordination, and hands‑on involvement in day‑to‑day work such as basic WordPress updates, SEO support, and AI‑assisted workflows.Key ResponsibilitiesOffice & Operations ManagementCoordinate office activities and day‑to‑day operations to ensure efficiency and compliance with company policiesTrack and order office supplies, manage couriers, and handle reception duties as requiredMaintain filing systems, records, and databases (personnel, financial, client, project)Plan and coordinate internal meetings, track time, and follow up on action itemsAccounts Receivable & Bookkeeping SupportCreate and send client invoices and receiptsTrack payments, follow up on outstanding A/R, and work with external bookkeeping services to keep records accurateUpdate spreadsheets and time entries as neededTrack and consolidate office expensesSubmit timely reports and assist with scheduled financial summariesClient Account Management & SupportServe as primary point of contact for clients on day‑to‑day mattersReceive, log, and triage client update requestsAssist clients with lightweight WordPress edits (text, images, simple page updates)Coordinate with SEO, design,
and development teams to ensure client requests are completed on timeCommunicate clearly and professionally with clients via email, phone, and meetingsSEO & Digital Marketing SupportAssist the SEO team with routine tasks (reporting, content uploads, on‑page updates, keyword research support)Use AI tools to draft content, summarize information, and streamline workflowsHelp maintain client SEO documentation and reportingExecutive & Administrative SupportProvide administrative support to the Principal / Creative Director, including calendar management, correspondence, and prioritization of incoming requestsWrite and distribute internal and external correspondence (emails, memos, letters, proposals)Assist in preparing presentations, proposals, and reportsHandle confidential and sensitive information with discretion and good judgmentCoordinate travel arrangements as requestedGeneralAssist colleagues across departments when operational requirements dictateTake on additional duties and special projects as the company evolvesRequired Skills & QualificationsMinimum 2 years of experience in office administration, operations, executive support, or a similar role in a fast‑paced environmentDemonstrated experience with bookkeeping and/or accounts receivable (invoicing, payment tracking, A/R follow‑up)Comfort making light updates to WordPress websites (editing pages, posts, images, basic content)Working familiarity with AI tools (ChatGPT, Claude, Gemini) and a willingness to use them dailyStrong working knowledge of Google Workspace (Gmail, Drive, Docs, Sheets, Calendar) is essentialExcellent written and verbal communication skills — spelling,
