Position SummaryThe Office Administrator assists with the day-to-day administrative operations, working closely with the Executive Director, Program Manager(s), Accounting Clerks and Team Leads. The Office Administrator is the primary point of administrative and operational contact for internal and external communications, often on complicated and confidential matters.The Office Administrator is responsible for performing a variety of supportive tasks and is often the go-to person that staff seek out help with questions or problems. They must be able to solve a variety of problems using critical thinking.QualificationsMinimum Grade 12 educationAt least one year’s experience as an office clerk or other clerical positionKnowledge of office procedures and basic accounting principlesExcellent communication skills, organizational skills, the ability to work effectively within a team environment, sound decision‑making abilities, and the capacity to work with minimal supervision.Highly proficient in the use of Microsoft Excel, Word, and OutlookAbove average communication (both verbal and oral) and organizational skillsRobust capability to multi‑task and finish assigned projects before deadlines are due.Highly efficient time management skills and ability to prioritize tasks.Valid driver’s license and access to a vehicleClear Criminal Record Check, Adult Abuse Registry Check and Child Abuse Registry Check (if applicable) and/or Vulnerable Sector SearchExperience working with individuals with disabilities would be considered an asset.ResponsibilitiesBankingPerform bank deposits as necessary.Withdraw funds from the bank account as needed to replenish the office petty cash fund.Record transactions on the transaction sheet as they occur,
ensuring receipts are present for each transaction.Ensure that all transactions reported by the bank are recorded on the transaction sheet.Reconcile monthly and submit the receipts to the Accounting Dept.Office Petty CashDistribute the appropriate funds to the House Supervisors for House Petty Cash funds.Record transactions on the transaction sheet as they occur.Reconcile monthly and submit all receipts to the Accounting Dept.House Petty CashTrain current Team Leads on the house petty cash process.Ensure all House Petty Cash transaction sheets and receipts are turned in by the Team Leads by the deadline and that transaction sheets for each fund are accounted for.Submit the transaction sheets and receipts to the Accounting Dept.Payroll/HRAssist the Program Manager(s) and field staff with necessary paperwork.Maintain physical and electronic employee recordsManage Citation CanadaGeneral/AdminMonitor stock of office supplies (paper, pens, folders, etc.) and replenish as needed.Maintain office equipment and arrange for repairs when necessary.Develop and maintain positive and effective communication with team leaders, management, co-workers, and all others that are involved in the individual’s care.Repair & MaintenanceCommunicate with contractors regarding house repairs and quotes.Review repair and maintenance forms from team leads, prioritize and have repaired.Other duties as assigned.Pay$21.00-$23.00 per hourBenefitsDental careDisability insuranceEmployee assistance programExtended health careLife insuranceOn-site parkingPaid time offVision careExperienceoffice clerk or other clerical position: 1 year (required)Licence/CertificationDriving Licence with access to a reliable vehicle (required)Work LocationIn person#J-18808-Ljbffr
