Reporting to the School Administrators,the Secondary School Receptionist and Attendance Secretary provides frontline reception, student attendance and general clerical support in a busy secondary school office. As a primary point of contact for students, parents/guardians, staff, visitors and community partners, the successful candidate will maintain accurate and confidential attendance information, support the Vice-Principals with attendance matters, work collaboratively with school office staff, and contribute to a professional, welcoming and well-organized school environment.
Key Responsibilities
- Serve as a primary point of contact for the school office by greeting and directing students, parents/guardians, staff, visitors and community partners and responding to telephone, email and in-person inquiries in a professional and welcoming manner.
- Operate the school telephone and public-address systems, communicate approved information, monitor visitors and follow established school safety, visitor-management and emergency procedures.
- Receive, review, verify and enter daily student attendance information, including absences, late arrivals, early departures and excused absences, using Board-approved systems.
- Retrieve and process attendance information received through voicemail, email, written notes and other approved methods; identify missing or inconsistent entries and follow up as required.
- Follow established safe-arrival and attendance procedures, including contacting parents/guardians regarding unexplained absences and issuing communications through approved systems.
- Process student admit and excuse information and maintain accurate records of student arrivals and departures throughout the school day.
- Prepare and maintain attendance reports, correspondence, notes and supporting documentation for the Vice-Principals and other authorized staff in accordance with Board procedures and records-management requirements.
- Communicate relevant attendance information to students, parents/guardians, teachers, guidance staff and School Administrators, and refer recurring, unexplained or significant concerns to the appropriate Vice-Principal.
- Provide general clerical support, including preparing correspondence, reports and forms; filing; photocopying; scanning; document management; and processing mail, deliveries and courier materials.
- Provide clerical and administrative support to the Vice-Principals and work collaboratively with the Administrative Assistant and other school office staff to support daily office operations and provide coverage for routine reception, attendance and clerical functions.
- Assist with student registration, graduation, report-card distribution, school events, transportation inquiries and other seasonal school office activities as assigned.
- Maintain strict confidentiality and exercise discretion when handling student, staff and school information.
- Perform other related duties consistent with the position and assigned by the School Administrators.
Mandatory Qualifications & Skills
- Successful completion of a post-secondary certificate or diploma in Office Administration, Business or a related field, or an equivalent combination of education and relevant experience.
- A minimum of one (1) year of experience in a reception, clerical, customer-service or administrative support role.
- Proficiency with Microsoft 365 applications, including Word, Excel, Outlook and Teams.
- Strong organizational and time-management skills, with the ability to manage competing priorities and respond to changing demands in a busy school office environment.
- Demonstrated accuracy and attention to detail in data entry, record keeping and document preparation.
- Excellent interpersonal, written and verbal communication skills and a qualified, service-oriented approach.
- Ability to respond to inquiries calmly, respectfully and efficiently and to refer matters appropriately.
- Ability to work independently within established procedures and collaboratively as a member of the school office team.
- Demonstrated discretion, professionalism and sound judgment when handling confidential information.
- Dependability, initiative and flexibility in supporting daily school office operations.
Preferred Qualifications
- Experience in a school, school board or other educational environment.
- Experience using Aspen, Edsby, SchoolMessenger or comparable student information and communication systems.
- Experience maintaining attendance or other confidential records and familiarity with secondary school office procedures.
Additional Posting Information:
Current compensation: $43,065 to $53,317 annually, prorated for the 10-month position, in accordance with the applicable collective agreement.
