We’re seeking a proactive problem‑solver who can seamlessly manage office logistics and provide essential support to our project and marketing teams, while elevating the overall experience for our staff and clients.OpportunityPosition: Office AdministratorLocation: Ottawa officeFull‑time, in‑office; five days per weekResponsibilitiesMaintain the smooth day‑to‑day flow of the local office, ensuring a productive, welcoming, and well‑maintained setting for the teamParticipate in both the Office Managers and Office Administrators national groups, and liaise with local stakeholders and ownership groupsWork collaboratively with local and national groups to promote office culture activities, events and charitable initiativesSupport the Office Manager in the development and execution of the annual Office Business Plan, applying strategic thinking to address future office needs and engaging stakeholdersMonitor operating budgets and capital purchases, and actively manage expenses to align with company prioritiesSupport internal business initiatives and projectsParticipate in the local Health and Safety committee and support the implementation of office‑wide safety initiativesCoordinate completion of action items for other committees as necessaryAssist in organizing monthly staff meetings and provide backup support for meeting facilitation as neededCoordinate with third‑party service providers and property managementDeliver new employee orientation and training related to Dillon procedures and systemsAssist in organizing work‑related functions and community engagement eventsGreet visitors, coordinate mail and couriers, and manage the entry system for staffComplete office services such as filing and archivingManage the flow and approval of accounts payable invoices and expense claims for staffOversee office equipment and supplies, including furniture, copiers, and general office suppliesFormat a range of documents in Microsoft Word, edit and proofread for spelling, grammar, and consistency, and conduct overall quality reviewsProduce documents, including photocopying, scanning, binding, and compiling PDFsEmbrace a "no job is too big or too small" mindset; complete other administrative duties as required to run the office effectivelyQualificationsA minimum of three (3) to five (5) years of administration‑related experienceA certificate or diploma in an administration‑related field of study is considered an assetStrong interpersonal skills and a positive "can‑do" attitude with an enthusiastic, problem‑solving presence in the officeStrong time‑management skills, able to prioritize work effectively to meet tight deadlines and changing workload demandsAbility to work independently and as part of a teamProfessional verbal and written communication skillsAbility to present information and updates clearly in small‑group settings or team meetingsProficiency in Microsoft Word and ExcelExcellent attention to detail and a high regard for accuracy,
