This role exists to keep the people-side of our business running smoothly - not from a culture or leadership perspective, but from a systems, records, and process standpoint.The Payroll & Administration Manager is the operational backbone of our people administration. You’ll sit within the Finance team and work closely with the Financial Controller, ensuring that payroll is coordinated accurately, employee records are airtight, compliance requirements are met, and that every person who joins or leaves noissue has a seamless experience from a systems perspective.You’ll work across Xero and Remote, our third-party global payroll platform, coordinating inputs and ensuring nothing falls through the cracks. This is a role for someone who is detail-oriented, process-driven, and thrives in an environment where accuracy and organisation are non-negotiable.Why this Role ExistsAs we scale across markets, we need someone who can:Keep payroll, leave, and benefits coordinated accurately and on time across all marketsEnsure employee records are complete, compliant, and housed in one placeManage the administrative side of performance reviews and onboarding/offboardingTrack expenses and subscriptions with consistency and rigourTake operational pressure off the Finance Director and leadership teamWhat You’ll Own1. PayrollCoordinate payroll across all noissue markets - Canada, US, UK, New Zealand, Australia, Hong Kong, and China - working through Remote, our third-party global payroll platform, to ensure runs are accurate and on timeEnsure all payroll inputs are accurate and submitted on time – new starters, leavers, salary changes, and any other variations – and maintain internal records in parallelLiaise with the Financial Controller to reconcile payroll against budget in XeroAct as the point of contact with Remote, flagging any issues or compliance queries to the Financial Controller as they arise2. Leave ManagementAdminister and track employee leave – annual, sick, parental,
and any other leave types – across all marketsMaintain leave balances and ensure records are accurate and up to dateCommunicate leave policies clearly to employees and flag any discrepancies to the Financial Controller3. Advantages AdministrationManage employee benefits enrolment, renewals, and queriesMaintain accurate records of benefit plans and eligibility across all marketsAct as the point of contact between employees and benefits providers4. Employee Records & FilesOwn and maintain all employee files – contracts, start dates, amendments, and supporting documentationEnsure all records are stored correctly, consistently, and in one centralised locationAudit records regularly to ensure completeness and complianceManage the full employee lifecycle from a documentation standpoint5. Expense TrackingAdminister the employee expense process – collection, review, and processingEnsure expenses are submitted, coded, and approved in line with company policyTrack and report on expense spend in coordination with the Finance team6. Performance Review AdministrationOwn the performance review calendar and ensure all employees receive a review on scheduleCoordinate with managers to keep the process on track and documentedMaintain records of completed reviews – this role manages the process, not the reviews themselves7. Subscription ManagementTrack and maintain a register of company software subscriptions and licencesManage renewals, cancellations, and access changes in coordination with relevant stakeholdersIdentify opportunities to consolidate or reduce subscription spend8. Onboarding & Offboarding (Systems)Manage the systems and admin side of onboarding – accounts, access, contracts, and documentationEnsure all leavers are offboarded cleanly – access removed, records updated,
