MacEwan University is seeking an Admissions Assistant for a full time continuing opportunity with the Office of the University Registrar.
The position is an integral member of the Admissions team and is accountable for providing exemplary service, preparing admission files for evaluation, and providing support to the admission team. You will receive, organize, and manage related information and documentation to prepare a file for admission evaluation. Additionally, you will respond to future students, applicants, and parents regarding a broad range of inquiries related to applicant file status, admissions and transfer policies, procedures, and documentation requirements.
Key responsibilities include:
Entering applications and supporting documents (i.e. transcripts, test scores) into the student information system;
Identifying and confirming receipt of academic transcripts and related admission documentation required for the evaluation of applications, and, where required, scanning and uploading to the electronic document management system and student record;
Reviewing academic transcripts and applicable admission documents to verify authenticity and completeness, using multiple resources;
Providing accurate admission information to future students, applicants, parents, and stakeholders by email or other electronic communication tools;
Assisting applicants in understanding their admission and transfer credit statuses;
Engaging with the Admissions team to ensure accurate and consistent information is provided to applicants, students, and staff;
Identifying and recommending new or revised procedures where efficiencies can be optimized; and
Assisting with and supporting the collaborative training model for new and existing employees.
Skills

Excellent written and verbal communication skills;
A service-oriented approach with the ability to serve diverse prospective students, applicants, and other stakeholders with empathy, professionalism, clarity, consistency and conciseness;
The ability to perform intermediate-level tasks using a student information system;
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint, Google and other software applications;
The ability to organize time and priorities with limited supervision to meet goals and objectives;
The ability to understand and anticipate applicants need using critical thinking and problem-solving skills;
The ability to process large volumes of work and meet deadlines;
Aptitude for accuracy and thoroughness with keen attention to detail;
The ability to demonstrate flexibility and adaptability in a dynamic environment; and
The ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
Qualifications
A minimum of a Diploma (two-year) with a focus on records/data management, administration or related areas.
A minimum of one (1) year of administrative support and/or data management experience in program evaluation settings.
Experience in a post-secondary institution in an administrative setting would be considered an asset.
Knowledge of PeopleSoft - Campus Solutions would be considered an asset.
An equivalent combination of education and experience may be considered.
