Assist the Shared Services Team with daily administrative tasks in English and French
Provide administrative and operational support for talent management, recruitment, onboarding and integration, and performance management processes
Maintain a bring-forward system for tracking tasks and deliverables
Coordinate logistics for meetings and events, including scheduling, materials preparation, and follow-up
Prepare, organize, and maintain confidential files, records, and documentation
Support projects, special initiatives, and day-to-day operations across the Shared Services Team and Professional Resources group
Assist the MT Academy Team with administration and coordination tasks in English and French
Update and maintain the Learning Management System, track attendance, update program entries, and create and proof invitations
Manage and monitor shared MT Academy inboxes and respond to inquiries
Organize MT Academy meetings, including agendas and minutes
Prepare plans, reports, and charts tracking program updates
Update programming communication templates in English and French
Contribute to protocols and tracking systems
Manage updates to the firm intranet, including existing content and new pages and resources
Coordinate payment of consultant invoices, professional fees, program registration costs, and other expenses
Assist with translation and review of communications, materials, and resources
Provide administrative and project support for Professional Resources initiatives
Perform other duties and special projects as assigned
Requirements Minimum of three years of administrative experience, preferably within a law firm or other professional services environment
Post-secondary diploma
Fluent bilingualism in French and English
Experience with Workday is considered a strong asset
Excellent organizational,
proofreading, spelling, and grammar skills
Strong attention to detail
Exceptional verbal and written communication skills
Demonstrated initiative, resourcefulness, and accountability
Ability to work effectively in a fast‑paced environment and manage competing priorities
