Role Description
The Medical Office Assistant is a full-time, on-site role based at Seymour Health Centre in Vancouver, BC. This role supports family physicians and daily clinic operations by greeting patients, managing check-in and check-out processes, and ensuring the accurate collection of patient information. The Medical Office Assistant schedules and confirms appointments, answers and directs phone calls, and responds to general inquiries with professional and respectful communication. Responsibilities include verifying insurance details, updating patient records, preparing charts, and providing administrative assistance to clinicians and staff. The role also involves coordinating referrals, handling medical documents securely, and contributing to a welcoming,



productive environment for patients and colleagues.

Qualifications

Strong phone etiquette and professional communication skills when interacting with patients, families, and medical staff.

Fluency in English and Mandarin is required.

Proficiency in appointment scheduling and managing patient flow using clinic scheduling systems.

Working knowledge of medical terminology to support accurate documentation and communication with clinical teams.

Experience with insurance verification and basic billing processes to ensure accurate patient information and coverage details.

Administrative assistance skills, including data entry, record management, filing, and use of MedAccess EMR.

Attention to detail, strong organizational skills, and the ability to manage multiple tasks in a fast-paced clinical environment.

Commitment to patient-centered care, maintaining confidentiality, and adhering to privacy and regulatory requirements.

Minimum 1-2 years

previous

experience in a medical office or healthcare setting and completion of a Medical Office Assistant or related program are considered assets.
