The Training Administrator supports the Power Generation Region by delivering accurate, timely, and well-organized administrative assistance across training programs and activities. This role ensures that all training processes are executed in alignment with established policies, quality standards, and regulatory requirements. Working closely with Trainers, Training Coordinators, HR partners, and site teams, the Training Administrator maintains training records, prepares course materials, tracks learner progress and compliance, and supports the effective coordination of training delivery to ensure a seamless and skilled experience for all participants.
DUTIES AND RESPONSIBILITIES
Training Administration
Prepare classroom and course materials
Prepare training rosters
Assist the training coordinator with training reporting and notifications
Schedule, and close out course offerings in TRMS
Link and delink qualifications and training requirements
Coordinate with Onboarding and Learning & Development teams
Assist with administration of the Supervisor Training Program
Assist with weekly training reporting and notifications
Mailboxes, Calendars and Communication
Monitor shared mailbox and process or triage requests as needed
Maintain PGR Training calendar - secure room bookings, notify facilitators and stakeholders etc.)
Communicate information to internal/external stakeholders
Schedule team/department meetings & record/distribute minutes
Provide general administrative support to the team
Training, Learning & Development and other Admin support
Coordinate with the Onboarding and Learning & Development teams to roster new hires for required Plant Access Training (PAT)
Assist with processing and submission/upload of TLD renewal forms
Work with Training and Onboarding Coordinators and Learning & Development Coordinators on other duties as assigned
Document Control and Records Management
Maintain Tracking Logs
Distribute, retrieve, archive documents
Maintain project libraries (training files, hard credits, attendance sheets, certificate cards, etc.)
Adhere to retention policies

EDUCATION REQUIREMENTS
Completion of a College certificate or University degree in Business Administration, Human Resources, or a related field is required
Training or coursework related to office administration, HR processes, or records management is an asset
Experience with onboarding, HR systems, or training platforms is considered an asset
Completion of relevant safety or industry‑related training is an asset (e.g., nuclear/site onboarding requirements)
WORK EXPERIENCE REQUIREMENTS
2–4 years administrative experience
Experience supporting onboarding, HR, or training‑related workflows
Experience maintaining records and processing documentation
Familiarity with onboarding, training, or eLearning systems
Experience coordinating schedules, room bookings, or logistics
Experience handling confidential employee information
SKILLS, ABILITIES, AND OTHER REQUIREMENTS
Strong understanding of training processes and administrative workflows
Proficiency in Microsoft Office (Excel, Word, Outlook, Teams)
Ability to maintain accurate records and follow document control standards
Strong attention to detail when preparing training materials and processing paperwork
Effective communication skills for working with new hires, internal teams, and client partners
Ability to manage multiple priorities and deadlines in a fast‑paced environment
Comfortable navigating onboarding systems, training platforms, and eLearning tools
Strong organizational, problem‑solving, and follow‑through skills
Ability to handle confidential information with discretion
Customer‑service oriented with a professional and supportive approach

COMPENSATION
The expected salary range for this role is between $50,000/annually and $65,000/annually. The starting salary will be based on several factors such as the successful candidate’s qualifications, including but not limited to education, experience and overall competencies. Salary is one component of Black & McDonald’s total rewards package. Total rewards vary by position and may include additional offerings such as group insurance benefits, pension plan, annual performance bonus, and career development programs.
