Coordinator IV – Workplace Services

Location: North York (preferred) or Chatham

Schedule: 5 days in-office

About the Role: Seeking a Coordinator IV – Workplace Services to support our Real Estate and Workplace Services team. This role is critical in designing and executing workplace processes, ensuring smooth operations, and maintaining a safe, functional, and engaging office environment.

Key Responsibilities:

- Provide service that supports business, employees, and departmental needs.
- Manage financial accounting activities: invoice coding, journal transfers, accruals, AR submissions.
- Vendor management for amenities (mail courier, catering, print/reproduction services).
- Monitor and manage ServiceNow queue for workplace service requests.
- Coordinate employee moves, meeting room operations, and space planning.
- Manage artwork inventory (sourcing, purchasing, placement).
- Participate in projects such as EHS initiatives and sustainability programs.
- Support emergency response and safety incidents.




- Draft and deliver communications for Real Estate & Workplace Services.
- General administration: regulatory postings, documentation management (Elink, SharePoint).
- Train and support E-zone concierge staff.

Qualifications:

- Related university degree or technical diploma, or certification with 5+ years of experience.
- Minimum 5 years in a business-related environment, with at least 1 year in facility/property management.
- Strong interpersonal, customer service, and communication skills.
- Ability to work independently, maintain confidentiality, and apply critical thinking.
- Proficiency in Microsoft Office Suite (Word, Excel).

Preferred Assets

- Office/facilities management experience.
- Certifications: RPA, FMA, PMP, or CPM.
- Oracle Financial experience.

Working Conditions

- Quick-paced office environment with multiple priorities.
- Occasional duties outside traditional business hours.
- Potential travel to other Client's office locations.
