About the Role
The Executive Assistant provides high-level administrative support to the Executive and Senior Management teams and plays an important role in supporting key administrative functions across the organization. This position requires a high level of organization, discretion, professionalism, and the ability to manage changing priorities in a fast-paced environment.
The successful candidate will be a trusted partner to leadership, ensuring schedules, communications, meetings, projects,
and administrative activities are coordinated efficiently and effectively.
Key Responsibilities
Duties include, but are not limited to, the following:
- Organize Company Events and Meetings (Virtual and In Person)
- Manage and maintain Company’s social media channels
- Assist with marketing initiatives
- Manage membership renewal programs
- Champion the company's Charitable initiatives
- Writing, editing and formatting letters, reports and proposals
- Liaise with Landlord on office maintenance issues
- Manage third party vendors/suppliers
- Become familiar with key administrative functions E.G. Cell phone administration, Erail safe process, Invoice Cover Letter preparation, digitization project, print production and report preparation, etc.
- Work as part of the Administration Team to accomplish organizational goals
- Chair the Social Committee and organize employee social events
- Train and mentor Administrative Assistants
- Participate in the Recruitment, New Hire Orientation and On-boarding process
- Revise and update corporate website and intranet as needed
- Attend meetings and take minutes as needed
- Coordinate, support and contribute to a variety of special projects
What you bring
- Advanced Microsoft Office skills, particularly in Word, Excel, PowerPoint, and Outlook, with strong knowledge of document formatting, styles, section breaks, headers/footers, and professional document design.
- Creative and design-savvy,
with experience using Canva and Adobe Creative Cloud applications, including Illustrator, Photoshop, and PDF tools.
- Digital communications experience, with familiarity developing and managing e-newsletters using Mailchimp.
- Website management experience, with familiarity using WordPress.
- Tech-savvy and adaptable, with the ability to quickly learn and confidently work with new technologies, systems, and digital tools.
- 5+ years of administrative experience, including a minimum of 2 years in an Executive Assistant or similar executive-level support role.
- Post-secondary education in Business Administration, Office Administration, or a related field is considered an asset.
- Exceptional attention to detail, organization, and time-management skills, with the ability to manage multiple priorities and deadlines effectively.
