Position Summary: The Administrative Assistant is responsible for ensuring the smooth day-to-day operations of Thrive Group’s head office by providing exceptional front-line reception services, coordinating office administration, and supporting the Executive Office with a variety of administrative and operational activities. This role serves as the first point of contact for visitors, staff, and external partners while maintaining an organized, professional, and welcoming office setting.



In addition to office coordination responsibilities, the Administrative Assistant provides administrative support across corporate services including Human Resources, Finance, Information Technology, Facilities, and Fundraising, as required. The Administrative Assistant works closely with and reports to the Executive Assistant to the CEO to coordinate office logistics, meetings, events, and administrative processes that support organizational priorities.
Employment Guide: A strong candidate will have a diploma in Office Administration, Business Administration, or a related field, or an equivalent combination of education and experience.
They will bring three to five years of progressively responsible administrative or office coordination experience, with experience supporting senior leaders considered an asset.
Experience working in a healthcare environment or within a multi-site organization is also preferred.
The successful candidate will demonstrate exceptional organizational and time management skills, with the ability to effectively manage multiple competing priorities while maintaining a high level of accuracy and attention to detail.
They will possess excellent written and verbal communication skills, strong interpersonal and customer service abilities, and sound problem-solving skills.
The ability to exercise professional judgment, maintain confidentiality, and work both independently and collaboratively in a fast-paced environment is essential.




The candidate will be proficient in Microsoft Office 365 applications, including Outlook, Word, Excel, and PowerPoint, and have experience using Microsoft Teams, SharePoint, Adobe Acrobat, virtual meeting platforms, and a variety of office technologies and equipment.
Comfort learning and adapting to new technologies is considered an asset.

Pay Range: $45,816 - $50,572 annually Compensation set in accordance with experience and qualifications
Schedule: Monday to Friday, day times hour such as 8:30am-4:30pm, however, hours may vary depending on the needs of our programs.
