This is a part-time, non-union contract position, scheduled for 30 in-person hours per week, Monday to Friday, based in Toronto with travel to various locations as required.
DUTIES Provides leadership in the day-to-day operation of the ESL program and supports overall program administration for classes in Peel, Toronto, and York Region, working collaboratively with COSTI staff across sites and divisions to ensure smooth program delivery.
Contributes effectively in a fast-paced team environment with evolving program needs.
Oversees enrollment processes by maintaining waitlists and completing student registrations.
Responds to student inquiries by phone, email, and in person, providing accurate program information and guidance.
Communicates attendance requirements, participation expectations, and program guidelines to support student success.
Maintains accurate and organized digital program records using SharePoint and internal systems.
Collects, verifies, and enters student data into HARTs and COSTI’s internal client information database in accordance with reporting requirements.
Monitors attendance, withdrawals, transfers, and level movement to support program planning and data accuracy.
Identifies attendance concerns and trends and initiates appropriate follow-up actions.
Prepares enrollment summaries, waitlist updates, attendance reports, and program data for internal planning and funder reporting.
Gathers student feedback and program information to support evaluation and continuous improvement.
Administers student exit surveys and maintains related tracking tools.
Ensures classrooms are equipped and operational, addressing on-site needs as required.
Oversees the distribution of instructional materials, technology, and supplies across program sites and maintains inventory records.
Oversees the distribution of student transit tickets and maintains accurate eligibility and usage documentation.
Arranges guest speakers, workshops, and presentations, including logistics, communication, and follow-up.
Tracks guest speaker participation and student feedback to support program enhancement.
Shares program information with referring agencies, community partners, and prospective students.
Represents the ESL program at job fairs and community events to promote enrollment and strengthen community connections.
Provides guidance and support to ESL instructors, office assistants, and volunteers as needed to ensure consistency in program delivery and service quality.
QUALIFICATIONS Community college diploma or equivalent.
Minimum of 2 years of experience supporting or leading a newcomer language or skills training program.
TESL Ontario certification is an asset.
PBLA trained or in training is an asset.
Experience teaching ESL in person and online is an asset.
Experience using virtual meeting tools such as Microsoft Teams and hybrid teaching technology like the OWL camera.
Experience using HARTs for student enrollment, attendance, and reporting.
Experience using an internal client information database in settlement and language programs is an asset.
Experience using Learning Management Systems (LMS) such as Avenue.
Proficiency with OneDrive and SharePoint.
Ability to work in a quick-paced environment with robust multitasking skills.
Sensitivity to and awareness of settlement barriers facing newcomers.
Excellent interpersonal skills and strong written and verbal English communication skills.
Strong leadership, organizational, and administrative abilities.
Access to a vehicle is required for weekly travel between ESL class locations across the GTA.
Hourly Rate: $32.97 per hour
