Job Description:
We are looking for an Accounts Payable Clerk to join a retail organization in Burnaby, British Columbia on a contract-to-permanent basis. This role is ideal for someone who enjoys high-volume invoice processing, stays organized in a fast-paced setting, and communicates well with internal stakeholders and vendors. You will support day-to-day payables activities, help keep reconciliations accurate, and contribute to a smooth approval and payment process within a team-oriented hybrid work environment.
Responsibilities:
- Process a high volume of vendor invoices with accuracy, ensuring coding and supporting details are complete before entry.
- Coordinate invoice approvals by following up with the appropriate internal contacts and resolving delays in a timely manner.
- Reconcile vendor statements regularly and investigate discrepancies, missing invoices, and payment-related questions.
- Respond to vendor inquiries professionally, providing updates and working toward prompt resolution of account issues.
- Maintain organized and up-to-date vendor records, including account details and supporting documentation.
- Perform account reconciliations such as bank, cash, expense, credit card, and daily balance reviews as required.
- Use Excel to support reconciliations,
track outstanding items, and prepare clear working files for the AP process.
- Assist with administrative improvements to accounts payable workflows, including document handling through shared digital folders and SharePoint.
- Collaborate with the AP team and other departments to gather information needed for accurate processing and reporting.
Requirements:
- At least 2 years of accounts payable experience, preferably within a retail environment.
- Strong hands-on experience processing invoices and working with vendor accounts in a high-volume setting.
- Proficiency with Microsoft Excel, including reconciliations, lookup functions, pivot tables, and general data handling.
- Experience with account reconciliations, including vendor statements, bank activity, cash, expenses, and credit cards.
- Solid data entry skills with strong attention to accuracy, organization, and detail.
- Ability to communicate effectively with vendors and internal stakeholders regarding approvals, discrepancies, and account questions.
- Practical problem-solving skills and the ability to manage straightforward priorities with minimal supervision.
