Part-Time Client Experience Coordinator

Physical Solutions is looking for an organized, friendly, tech-comfortable Client Experience Coordinator to join our growing health and wellness practice in Airdrie.

This isn't just a front-desk position.

We're looking for someone who enjoys working with people, takes initiative, notices what needs to be done, and can help keep the behind-the-scenes details of a busy practice running smoothly.

What You'll Be Doing

Your role will include a combination of client experience, administration, organization and social media support, including:

- Greeting clients and creating a welcoming experience
- Answering emails, phone calls and client questions
- Scheduling and managing appointments
- Processing payments and assisting with basic billing
- Preparing client paperwork, handouts and reports
- Organizing and uploading client photos, videos and files
- Assisting with client follow-up and communication
- Helping manage class, workshop and program registrations
- Maintaining client files and administrative systems
- Assisting with inventory and clinic organization
- Supporting newsletters and email communication
- Creating and scheduling straightforward social media content
- Working with Canva and other online platforms
- Helping promote classes, workshops and upcoming programs
- Identifying small things that could make the client experience or clinic systems better

Who We're Looking For

- Comfortable with social media
- Familiar with Canva or willing to learn
- Able to prioritize and move between different tasks
- Someone who takes initiative rather than always waiting to be told what to do
- Professional and respectful of client confidentiality

Experience working in a healthcare, wellness, fitness or professional clinic environment is an asset but isn't required.

Experience with Cliniko, Canva, Stripe, Wix, Podia, Physitrack or similar platforms would also be an asset.
