Medical Administrative Assistant – Surgical Practice

Location: East York, Toronto, Ontario
Position: Full-time, permanent, in-person
Schedule: Monday–Friday, approximately 8:30 a.m.–4:30 p.m.
Salary: $50,000–$55,000 per year, depending on experience

About the Position

We are two general and colorectal surgeons establishing a new community-based surgical practice in East Toronto, affiliated with Michael Garron Hospital.

We are seeking an experienced, organized and dependable Medical Administrative Assistant to manage the day-to-day administrative operations of our practice.

This is an important role within a small office. The successful candidate will work closely with both surgeons and will serve as the primary administrative point of contact for patients, referring physicians, hospital departments and other healthcare providers.

We are looking for someone who takes ownership of their work, communicates professionally and is comfortable independently managing competing priorities. Our goal is to find someone interested in becoming a long-term and integral member of the practice.

Responsibilities

Responsibilities will include:

- Managing incoming telephone calls, messages, faxes and correspondence
- Receiving, reviewing and processing new patient referrals
- Scheduling and coordinating consultations and follow-up appointments
- Maintaining accurate patient records using Accuro EMR
- Preparing and managing forms, requisitions, letters and other clinical documentation
- Tracking investigation results, pathology reports and other outstanding clinical information
- Coordinating with Michael Garron Hospital and other hospitals, clinics, laboratories, imaging facilities and physician offices
- Assisting with surgical and procedural scheduling and related administrative requirements




- Communicating with patients regarding appointments, instructions and administrative questions
- Maintaining organized and accurate office records
- Ordering and maintaining office supplies
- Other administrative duties associated with the operation of two specialist surgical practices

Qualifications

Strongly preferred:

- Previous experience as a medical administrative assistant, medical secretary or medical office assistant
- Experience working in a specialist or surgical medical practice
- Excellent organizational skills and attention to detail
- Robust written and verbal communication skills
- Ability to prioritize multiple tasks and work independently
- Professional, courteous and compassionate communication with patients
- Strong computer skills and comfort learning new systems
- A demonstrated record of reliability and professionalism

Assets:

- Experience with Accuro EMR
- Previous experience working within Michael Garron Hospital / Toronto East Health Network, or familiarity with its systems and workflows
- Experience coordinating surgical bookings, investigations and specialist referrals
- Familiarity with Ontario healthcare and OHIP processes
- Medical Office Administration training or certification

Previous experience and demonstrated ability to independently manage a specialist medical practice will be valued more heavily than formal certification alone.

Hours and Work Environment

This is a full-time, in-person position,



normally Monday through Friday from approximately 8:30 a.m. to 4:30 p.m.

The position is intended to provide consistent weekday administrative coverage for the practice, including on days when the surgeons are operating or otherwise working outside the office.

There is no routine evening or weekend work.

Vacation and Sick Leave

The position includes:

- Two weeks (10 working days) of paid vacation per year
- Five paid sick days per year
- Paid statutory holidays in accordance with Ontario employment standards

Compensation

The salary range for this position is $50,000–$55,000 per year, depending on experience.

Candidates with substantial experience independently managing a specialist or surgical practice may be considered above the posted range.

Compensation and responsibilities will be reviewed periodically as the practice develops and the successful candidate takes increasing ownership of office operations.
