Position Title: Finance Assistant
Location: Halifax, NS
Type: Part-time (21 hours/ week) until March 31, 2027
Reports to: Finance and Administration Manager
Salary: Starting salary of $29000/annually, plus a comprehensive perks package
Start date: As soon as possible, until March 31, 2027 (with possibility of extension)
Working conditions: ARAISA staff work in a hybrid environment which, for this position, includes a minimum of 2 days per week in the ARAISA office.
THE OPPORTUNITY
The Atlantic Region Association of Immigrant Serving Agencies (ARAISA) is looking for a Finance Assistant to join its growing team.
The Finance Assistant will report to the Finance and Administration Manager and support smooth day-to-day financial operations, including invoice and payment processing, Accounts Payable, Accounts Receivable, posting banking transactions, procurement support, and other financial tasks as needed.

MAJOR RESPONSIBILITIES
- Prepare, coordinate, and process a variety of requisitions and batch payment files accurately and in a timely manner.
- Collect, review, and organize supporting documentation, including invoices, receipts, ACH and vendor credit information, and other relevant records, to support requisitions, reimbursements, and claims in compliance with established financial policies and procedures.
- Maintain accurate and up-to-date vendor records in both electronic files and accounting software, ensuring vendor information is complete, properly documented, and readily accessible for payment processing and reporting purposes.
- Maintain clear, user-friendly financial templates and forms to support consistent data entry, accurate reporting, and efficient financial administration across programs and operational activities.
- Post Accounts Payable, Accounts Receivable, bank, and credit card transactions in the accounting software, ensuring entries are accurate, properly categorized, and supported by appropriate documentation.
- Respond to questions from program teams regarding monthly reporting on actual program financial results.
- Generate routine financial reports from the accounting software for review by the Finance and Administration Manager, supporting monitoring, reconciliation, and timely follow-up on outstanding items.
- Assist in the filing, organization and retrieval of financial records and supporting documentation, and provide administrative support during internal reviews, reconciliations, audits or other compliance-related activities as required
The Finance Assistant is also responsible for:

- Representing ARAISA at events or external meetings, when requested.
- Other duties, as necessary.
EXPERIENCE/QUALIFICATIONS
- Post-secondary study in a relevant field(s) such as Accounting or Finance
- Minimum 1 year of experience in bookkeeping and proficiency with accounting software (e.g. Sage 50, QuickBooks, etc.)
- Excellent written and verbal communication skills in English required; French is an asset
- Strong organizational, problem-solving, and analytical skills
- Excellent skills in Excel and advanced computer proficiency in Word, Outlook, MS Teams, SharePoint, and Zoom
- Strong time management skills, including efficiently prioritizing and managing multiple tasks.
- High degree of accuracy and attention to detail
- Demonstrated ability to work both independently and cooperatively with a high degree of initiative and responsibility
- Must be legally able to work in Canada (work permits must be valid for at least 12 months)
