THE CHALLENGE
The AR/AP Lead is responsible for overseeing and coordinating day-to-day Accounts Payable and Accounts Receivable activities across TURBINE-X. This hands-on role supports vendor payments, customer billing, reconciliations, month-end activities, master data, reporting, and financial controls.
Working closely with Finance, Operations, vendors, customers, and banking partners, you’ll help keep AP and AR processes accurate and moving efficiently while providing day-to-day guidance and support to the accounting team.

WHAT YOU’LL DO
Accounts Payable & Vendor Payments
- Oversee and coordinate Accounts Payable activities, including vendor invoice processing and payments.
- Review invoices for appropriate coding, purchase orders, approvals, taxes, supporting documentation, amounts, and payment terms.
- Ensure invoices are recorded in the appropriate accounting period and properly matched to supporting documentation.
- Coordinate vendor payments, including EFTs, wires, cheques, and other approved payment methods.
- Review payment batches for accuracy, completeness, approvals, duplicate payments, and unusual transactions.
- Monitor outstanding invoices and vendor balances and help ensure timely processing and resolution.
- Investigate and resolve invoice discrepancies, credits, duplicate transactions, unapplied payments, and vendor account issues.
Accounts Receivable & Customer Billing
- Oversee the processing and issuance of customer invoices.
- Review invoices for billing information, amounts, contract terms, taxes, supporting documentation, and appropriate coding.
- Ensure customer invoices are issued accurately, on time, and recorded in the appropriate accounting period.
- Monitor unbilled items and coordinate with internal departments to support timely billing.
- Investigate and resolve billing discrepancies, pricing differences, credits, and disputed invoices.
- Monitor customer balances and support the resolution of overdue and outstanding receivables.
Reconciliations & Payment Applications
- Perform and review AP, AR, bank, vendor, customer, and other accounting reconciliations.
- Ensure AP and AR sub-ledger balances agree to the general ledger.
- Review vendor statements and customer account balances and investigate discrepancies.
- Review outstanding, aged, and unusual balances and ensure appropriate follow-up.
- Review vendor and customer payment remittances to ensure payments and receipts are accurately applied.
- Investigate unapplied cash, short payments, overpayments, credits, deductions, and unidentified receipts.
- Support intercompany and other accounting reconciliations where applicable.
- Ensure reconciliations are accurate, properly supported, and completed within established deadlines.
Month-End Close & Accruals
- Coordinate month-end AP accruals to ensure expenses are recorded in the appropriate accounting period.
- Review outstanding invoices, vendor commitments, goods received, and services performed to identify accrual requirements.
- Review supporting documentation and calculations for accruals.
- Review invoices received after month-end for potential prior-period expenses.
- Monitor outstanding billing requirements and identify potential unbilled revenue.
- Assist with AP/AR-related month-end reconciliations, schedules, and close activities.
Vendor & Customer Master Data
- Review and approve new vendor and customer setup requests in accordance with company procedures.
- Ensure required documentation, approvals, tax information, contact details, payment terms, and other required information are complete.
- Validate vendor banking information in accordance with established internal controls.
- Review changes to existing vendor and customer information for appropriate authorization and documentation.
- Identify and prevent duplicate vendor and customer accounts.
- Maintain accurate vendor and customer master data.
- Protect sensitive vendor, customer, and banking information.
Reporting & Accounting Review
- Prepare and review AP and AR aging reports.
- Monitor vendor invoices, customer receivables, payment obligations, and collection activity.
- Track AP/AR performance indicators and provide regular updates to Finance management.
- Analyze aging trends and identify overdue, disputed, unusual, or high-risk balances.
- Support reporting related to AP/AR performance, working capital, and cash flow.
- Review journal entries prepared by the accounting team for accuracy, coding, supporting documentation, approvals, and appropriate accounting periods.
- Review AP and AR adjustments and investigate discrepancies identified through the review process.
Capital Assets
- Review invoices and accounting transactions related to capital assets for appropriate classification.
- Identify invoices that should be capitalized rather than expensed.
- Review capital expenditures against company capitalization policies and accounting requirements.
- Review supporting documentation for asset additions, transfers, and disposals.
- Coordinate with the accounting team to ensure capital assets are accurately recorded.
- Assist with capital asset reconciliations and supporting documentation.
Leadership & Continuous Improvement
- Provide day-to-day guidance and support to AP/AR team members.
- Review invoices, payments, receipts, reconciliations, and other accounting transactions for accuracy and completeness.
- Help establish priorities and ensure AP/AR deadlines are consistently met.
- Assist team members with resolving more complex vendor, customer, billing, payment, and accounting issues.
- Support the training and onboarding of AP/AR team members.
- Develop and maintain procedures and documentation for AP/AR activities.
- Act as a key point of contact between the AP/AR team and other departments.
- Identify opportunities to strengthen accounting processes, controls, accuracy, and efficiency.
- Support Finance management with accounting projects and initiatives as required.
Internal Controls & Compliance
- Ensure AP and AR transactions are processed in accordance with company policies, procedures, and internal controls.
- Ensure appropriate approvals and supporting documentation are obtained before transactions are processed.
- Promote strong controls around vendor banking information, payments, customer accounts, and accounting adjustments.
- Maintain accurate and complete accounting records and supporting documentation.
- Protect confidential financial, banking, vendor, customer, and company information.
- Identify control issues, process gaps, unusual transactions, or potential risks and escalate them appropriately.
- Support internal and external audit requirements as needed.
WHAT YOU’LL BRING
Experience
- Diploma or degree in Accounting, Finance, Business Administration, or a related field.
- Four to six years of progressive accounting experience, preferably with significant Accounts Payable and Accounts Receivable experience.
- Strong experience processing and reviewing vendor and customer invoices.
- Experience with vendor payments, customer receipts, remittances, and payment applications.
- Experience performing and reviewing AP and AR reconciliations.
- Strong understanding of month-end accounting and accrual processes.
- Experience reviewing journal entries and accounting reconciliations.
- Experience maintaining and reviewing vendor and customer master data.
- Strong understanding of general ledger and sub-ledger relationships.
- Working knowledge of capital asset accounting.
- Strong understanding of financial controls and transaction approval requirements.
- Experience working with ERP or accounting systems.
- Strong proficiency with Microsoft Excel.

- Ability to prepare and review AP/AR aging reports, reconciliation schedules, and KPI reports.
- Experience with banking and payment platforms is considered an asset.
- Experience with Microsoft Dynamics 365 Business Central or a similar ERP system is considered an asset.

- Previous experience in a lead or senior accounting role.

- CPA designation, progress toward a CPA designation, or other accounting-related professional development is considered an asset.
