We are currently seeking a full-time permanent Receptionist/Administrative Assistant to add to its industry leading team. This role combines front-desk responsibilities with office administration, requiring excellent communication, strong attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced workplace. Helping to ensure the academy operates efficiently, professionally, and in a welcomingly way for employees, clients, visitors, and vendors. The receptionist is responsible for managing the front desk, greeting visitors, answering phone calls, and providing administrative support to various departments.
Key Responsibilities:
Reception & Front Desk
- Greet and welcome clients, visitors, and guests in a professional and friendly manner.
- Answer, screen, and direct incoming phone calls and emails to the appropriate department.
- Manage incoming and outgoing mail, deliveries, and courier services.
- Maintain a clean, organized, and welcoming reception area.
- Schedule and coordinate appointments, meetings, and visitors.
- Direct visitors and vendors to the appropriate department.
- Respond to general inquiries and direct questions to the appropriate team member.
- Maintain confidentiality when handling sensitive information.
Office Management
- Assist in the daily operation and organization of the academy.
- Order and maintain office supplies, equipment, and refreshments, following operating procedures.
- Efficiently manage academy product inventory by organizing storage, tracking stock levels in real-time, and implementing regular cycle counts to ensure accurate management.
- Coordinate office maintenance, repairs, cleaning, security, and other building services.
- Liaise with landlords, vendors, contractors, and service providers.
- Maintain office procedures and administrative systems.
- Manage keys, access cards, office equipment, and related records.
- Coordinate office moves, renovations, events, and other operational projects as required.
- Monitor office expenses and assist with invoices, purchasing, and basic budget tracking.
- Ensure office policies and procedures are followed.
Administrative Support
- Provide administrative support to management and staff as needed.
- Prepare documents, correspondence, and create reports, tracking spreadsheets and presentations as needed.
- Maintain electronic and physical filing systems.
- Schedule meetings and assist with meeting preparation.
- Record meeting minutes and distribute information when required.
- Assist with onboarding new employees by coordinating workspaces, supplies, access, and other administrative requirements.
- Support company events, staff activities, and special projects.
- Perform other administrative duties as assigned.
Qualifications
- 2–5 years of experience in reception, office administration, office management, or a related role.
- High school diploma or equivalent; a Certificate or Diploma in Office Administration Beauty Industry experience is a plus.
- Strong organizational and time-management abilities.
- Professional, approachable, and customer-service-oriented demeanor.
- Proficiency with Microsoft Office Suite or Google Workspace.
- Ability to manage competing priorities and work independently.
- Strong attention to detail and follow-through.
- Ability to handle confidential information with discretion.
- Problem-solving skills and sound judgment, being resourceful and proactive when issues arise .
- Previous experience coordinating vendors, facilities, or office services is an asset.
- Ability to work collaboratively with a diverse team.
