Helping Hands & Heart is a locally owned home care company dedicated to providing compassionate, reliable care and support to clients in their own homes.
We are looking for a highly organized, dependable, and personable Scheduling & Administration Coordinator to join our growing team.
This is an important role within our company and is ideal for someone who enjoys working with people, solving problems, staying organized, and keeping things running smoothly behind the scenes. You will work closely with our caregivers, clients, families, and management team to coordinate schedules and support the day-to-day operations of our home care services.
Because home care is constantly changing, we are looking for someone who can think on their feet, communicate professionally, and confidently manage last-minute scheduling changes while maintaining a positive and compassionate approach.
Responsibilities
- Coordinate and maintain caregiver schedules based on client needs, caregiver availability, and continuity of care
- Communicate regularly with caregivers regarding schedules, changes, availability, and client needs
- Communicate professionally and compassionately with clients and families
- Respond to scheduling changes, caregiver call-outs, and coverage needs in a timely manner
- Assist with onboarding and maintaining caregiver and client records
- Maintain accurate employee, client, and scheduling information within our systems
- Answer phone calls and respond to emails professionally and promptly
- Assist with invoicing, expense tracking, and basic bookkeeping using QuickBooks
- Complete data entry, filing, correspondence, and general administrative duties
- Support management with day-to-day office operations and other administrative tasks as required
- Maintain confidentiality of client and employee information at all times
What We're Looking For
- Previous experience in scheduling, administration, health care, home care,
or a similar coordination role is an asset
- Strong organizational and time-management skills
- Excellent verbal and written communication skills
- Comfortable speaking with clients, families, caregivers, and health care professionals
- Ability to manage multiple priorities and remain calm when schedules or circumstances change unexpectedly
- Strong attention to detail and accuracy
- Proficiency with Microsoft Office and Google Workspace
- Experience with scheduling software is an asset
- Experience with QuickBooks or similar bookkeeping software is an asset
- Strong problem-solving skills and the ability to work independently
- Professional, dependable, compassionate, and approachable
- Comfortable handling confidential and sensitive information
Position Details
This is a part-time position of approximately 20–30 hours per week with some flexibility in scheduling.
Approximately 70% of working hours will be completed in our office, with the remaining hours having the flexibility to be completed from home depending on the needs of the business.
As a home care company, our schedules and client needs can change quickly. The successful candidate will be someone who understands the importance of responsiveness, reliability, and teamwork in ensuring our clients receive consistent care.
