Job Summary
TipTop Carriers Ltd. is seeking a reliable, organized, and experienced Truck Dispatcher to join our growing transportation team in Regina, Saskatchewan. The successful candidate will be responsible for coordinating the daily operations of our long-haul truck fleet, communicating with drivers, customers, brokers, and internal staff, and ensuring shipments are delivered safely and on schedule.
The ideal candidate will have strong communication and problem-solving skills, excellent knowledge of transportation operations, and the ability to work effectively in a fast-paced environment.
Responsibilities
- Coordinate and dispatch company trucks and drivers for local, regional, and long-haul shipments across Canada and the United States.
- Plan efficient routes, schedules, pickup and delivery appointments, and driver assignments.
- Monitor drivers and shipments throughout the trip and provide timely updates to customers and management.
- Communicate regularly with drivers regarding dispatch instructions, pickup and delivery details, delays, traffic, weather, mechanical issues, and other operational matters.
- Coordinate with customers, freight brokers, shippers, receivers, and transportation partners to ensure smooth movement of freight.
- Source and negotiate freight with brokers and customers when required.
- Review load details, rates, pickup and delivery requirements, special instructions, and transportation documentation.
- Ensure drivers have the appropriate information and documentation required for each shipment.
- Monitor driver hours of service and assist with scheduling while ensuring compliance with applicable Canadian and U.S. regulations.
- Track driver availability, hours, locations, equipment status, and estimated arrival times.
- Coordinate border-crossing requirements and ensure drivers have the necessary customs and shipment documentation for international loads.
- Respond quickly to breakdowns, delays, accidents, missed appointments,
and other unexpected situations and arrange appropriate solutions.
- Coordinate with the maintenance department regarding truck and trailer breakdowns, repairs, preventative maintenance, and equipment availability.
- Maintain accurate records of dispatches, trips, deliveries, driver activities, and shipment status.
- Review and verify bills of lading, proof of delivery, trip documents, and other transportation paperwork.
- Enter and update information in transportation management systems, dispatch software, and electronic logging/ELD systems.
- Follow up on outstanding paperwork and ensure completed documentation is submitted on time.
- Assist with driver scheduling, trip planning, and optimizing equipment utilization.
- Maintain professional relationships with drivers, customers, brokers, and other transportation partners.
- Perform other transportation and dispatch-related duties as required.
Requirements
- Previous experience in trucking, transportation, logistics, or dispatching is strongly preferred.
- Experience dispatching semi-trucks, tractor-trailers, or long-haul drivers is an asset.
- Robust understanding of the North American trucking industry and long-haul transportation operations.
- Knowledge of Canadian and U.S. Hours of Service and transportation regulations is an asset.
- Familiarity with ELD systems, GPS tracking, dispatch software, and transportation management systems.
- Strong knowledge of Canadian and U.S. highways, major transportation routes, and border crossings is an asset.
- Excellent verbal and written communication skills.
- Strong organizational and time-management skills with the ability to manage multiple trucks and priorities simultaneously.
- Excellent problem-solving and decision-making abilities.
- Ability to remain calm and professional when dealing with delays, breakdowns, scheduling changes, and other time-sensitive situations.
- Strong attention to detail and ability to maintain accurate records.
- Ability to work independently and as part of a team.
- Proficiency with Microsoft Office and basic computer applications.
- Ability to work flexible hours, including evenings, weekends, and holidays when operationally required.
- Previous experience working with a food-grade transportation operation is an asset.
