Position: Occupational Health Administrative Assistant

Department: Occupational Health

Employment Status: Part Time Permanent

Salary: Starting at $22.00, TBD based on experience

Location: Sudbury, ON

Closing Date: Posted until filled.

POSITION SCOPE:
The ideal candidate for this position will have high attention to detail and interest in learning about the Occupational Health field. The Occupational Health Administrative Assistant will work alongside the administrative team, and under the direction of the Administrative Lead and the Medical Surveillance Program Lead.

REQUIRED QUALIFICATIONS:
Mandatory Requirements

- Graduate of a post-secondary secretarial/office administration program.
- A minimum of 12 months recent and relevant experience in an administrative or clerical position.
- Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required.

Additional Requirements

- Demonstrated people skills (soft skills) as they relate to interpersonal interaction
- Experience in healthcare, occupational health is an asset
- Demonstrated computer skills, including proficiency in Microsoft Office suite
- Knowledge of legal documentation is an asset
- Experience with use of EMR
- Ability to interact in a highly professional manner
- Excellent verbal and written communication skills
- Excellent organizational and multi-tasking skills
- Ability to problem-solve and to prioritize work
- Demonstrated time management skills
- Ability to work independently and within a team setting




- Ability to handle sensitive and confidential issues and information in a professional manner
- Excellent attendance and discipline-free record required

KEY RESPONSIBILITIES:

The Occupational Health Administrative Assistant shall, in every aspect of their position:

- Promote the NEOMO Occupational Health Vision and Mission Statements
- Maintain the level of professionalism expected by the Occupational Health Administrative Assistant as outlined through the Policies and Procedures manual
- Uphold the ethics of their position and the Administrative Team

Responsibilities (include but are not limited to):

- Provide high quality confidential administrative support to the Occupational Health team.
- Handle confidential correspondence for the department, sort mail, answer telephone inquiries, reply to email messages, and liaise with team members.
- Maintain complete and accurate filing system.
- Ensure daily billing is completed.
- Provide assistance in coordinating meetings, updating reports and maintenance of data
- Assist team members with special projects or educational sessions as required.
- Provide excellent customer service to patients and clients by assisting them with prompt and professional service.
- Assist in data collection, data input, data analysis and report writing when required.
- Other responsibilities as assigned.

Pay: From $22.00 per hour
