About the Role:

The Fleet Admin plays a critical role in ensuring the smooth and efficient operation of a company's vehicle fleet across Canada.



This position is responsible for managing vehicle records, coordinating maintenance schedules, and supporting compliance with regulatory requirements. The Fleet Admin acts as a liaison between drivers, service providers, and management to optimize fleet utilization and minimize downtime. By maintaining accurate data and facilitating timely communication, this role contributes to cost control and operational efficiency. Ultimately, the Fleet Admin supports the overall logistics and transportation functions, enabling the company to meet its delivery and service commitments effectively.

Minimum Qualifications:

- High school diploma or equivalent.
- Proven experience in fleet administration, logistics, or a related field.
- Familiarity with Canadian vehicle registration and transportation regulations.
- Proficiency in Microsoft Office Suite, especially Excel for data management.
- Solid organizational and communication skills.

Preferred Qualifications:

- Post-secondary education in logistics, business administration, or a related discipline.
- Experience with fleet management software or enterprise resource planning (ERP) systems.
- Knowledge of vehicle maintenance and repair processes.
- Ability to analyze data to identify trends and recommend improvements.




- Bilingual proficiency in English and French.

Responsibilities:

- Maintain and update comprehensive records of all fleet vehicles, including registration, insurance, and maintenance history.
- Coordinate routine and emergency maintenance schedules with service providers to ensure vehicle safety and reliability.
- Monitor fleet usage and mileage to optimize vehicle allocation and reduce operational costs.
- Assist in ensuring compliance with federal and provincial transportation regulations and company policies.
- Prepare reports on fleet performance, expenses, and incidents for management review.
- Support the onboarding and offboarding process for drivers, including documentation and training coordination.
- Manage procurement and disposal processes for fleet vehicles in collaboration with relevant departments.

The Fleet Admin utilizes organizational skills daily to maintain accurate and up-to-date vehicle records, ensuring compliance and operational readiness. Communication skills are essential for coordinating with drivers, service providers, and internal teams to schedule maintenance and resolve issues promptly. Proficiency in software tools like Excel and fleet management systems enables efficient data tracking and reporting, supporting informed decision-making. Analytical skills help in monitoring fleet performance metrics and identifying opportunities for cost savings and process improvements. Additionally, knowledge of regulatory requirements ensures that the fleet operates within legal standards, minimizing risk for the company.
