Overview
We are seeking a detail-oriented and organized Billing Clerk to join our financial team. The ideal candidate will be responsible for managing billing processes, maintaining accurate financial records, and supporting accounts receivable and payable functions. The Billing Clerk plays a vital role in ensuring the accuracy of financial transactions and providing exceptional customer service to clients and internal teams.
Duties and Responsibilities:
- Prepare and process customer invoices and apply customer payments as instructed.
- Enter invoices, expense reports, purchase orders, payment information, and other data into the accounting system.
- Expected to follow and maintain procedures for processing receipts/cash and sorting and filing documents after posting.
- Maintain organized and complete financial records, supporting documentation, and filing systems (digital and/or physical).
- Review transactions for completeness and accuracy, escalating discrepancies or missing information to senior accounting staff.
- Ensure the strict confidentiality and privacy of financial records as they relate to the organization and its business partners.
- Tracking and updating project/ task schedules to ensure timelines are met.
- Prepare, review,
and process client invoices in accordance with internal instructions and client billing guidelines.
- Monitor and follow up on billing status (approvals/rejections).
- Maintain accurate billing records and generate billing-related reports as requested.
- Support collections by communicating with clients and resolving billing issues or inquiries.
- Other duties as assigned.
Qualifications and Requirements:
- 3–7 years of experience in an accounting clerk, accounts payable, accounts receivable, or transactional accounting role.
- Post-secondary diploma or certificate in Accounting, Business Administration, or a related field.
- Strong data entry skills with a high level of accuracy and attention to detail.
- knowledge of QuickBooks experience considered an asset.
- Proficiency with Microsoft Excel and basic Microsoft Office applications.
- Ability to follow established procedures and work under supervision.
- Strong organizational and time-management skills.
- Clear written and verbal communication skills.
- Ability to handle confidential information with discretion and professionalism
