Position: Accountant - Part Time (0.4 FTE) - Flexible
Starting October 2026
Duties:
Reporting to the Executive Director, the Accountant is responsible for the day-to-day financial administration and accounting functions of the organization, including maintaining accurate and up-to-date financial records, processing financial transactions, completing reconciliations, and preparing financial and management reports. The Accountant supports the financial operations of both the Family Health Team and physician cost-sharing activities and works closely with the Executive Director, management, physicians, staff, auditors, and external partners.
Key responsibilities include:
- Maintain accurate financial records and ensure the integrity of the General Ledger and related accounting systems, reports, and financial records.
- Manage full-cycle payroll administration, including payroll processing, statutory holiday calculations, Records of Employment, T4s, payroll remittances, benefit-related payments, and responding to staff payroll inquiries.
- Administer physician remuneration and related payments, including manual payments where required, reconciliation of funding and payments between accounts, and other physician-related remuneration.
- Reconcile physician remuneration using OHIP and other applicable reports and prepare physician cost-sharing reports in accordance with established processes.
- Manage accounts payable, including entering and processing invoices, obtaining required approvals, issuing payments, and maintaining appropriate supporting documentation.
- Manage accounts receivable and track incoming revenue, reimbursements, funding, and other amounts owing to the organization.
- Complete monthly bank, credit card, electronic payment and other financial account reconciliations, including investigating and resolving discrepancies.
- Manage deposits and movement of funds between organizational accounts as required, including regular processing and deposit of cheques, cash, and electronic payments.
- Record non-clinical revenues and other financial transactions in the accounting system and maintain appropriate supporting documentation.
- Track designated funding and reimbursements, including funding associated with learners, residents, community paramedics, programs, partnerships, and other externally funded activities.
- Prepare monthly and quarterly financial reports, including income and expense statements, trial balances, balance sheets, budget-to-actual reports, and other financial information required by management and the Board of Directors.
- Support quarterly and annual financial reporting requirements to the Ministry of Health and other funders, including preparing reports, exporting and analyzing accounting data, calculating allocations and overhead, and reconciling funding between accounts.
- Monitor revenues and expenditures against approved budgets, identify variances or discrepancies, and provide preliminary analysis and timely follow-up to management.
- Assist the Executive Director and management team with annual budget development, financial forecasting, and maintenance of budget and reporting tools.
- Coordinate financial activities related to physician cost sharing, including allocation and reconciliation of shared expenses and preparation of related reports.
- Liaise with external auditors and coordinate year-end activities for both the Family Health Team and physician cost-sharing operations, including preparing supporting documentation, responding to audit inquiries, and processing approved adjusting journal entries.
- Maintain capital asset records and prepare annual depreciation and other applicable year-end accounting entries.
- Process and reconcile organizational credit card expenses and obtain supporting invoices and documentation from staff.
- Prepare recurring invoices, payments, reimbursements, rent payments, and other financial transactions in accordance with established schedules and agreements.
- Maintain appropriate financial controls, documentation, filing, and record retention practices.
- Assist with inventory, purchasing, petty cash, and supply-related financial processes as required.
- Complete required annual financial and statutory reporting, including salary disclosure and other government or funder reporting.
- Ensure financial information is handled in accordance with organizational privacy, confidentiality, and financial control policies.
- Respond to financial and payroll inquiries from staff, physicians, management, vendors, and other stakeholders as appropriate.
- Perform other accounting, financial administration, and related duties as assigned.
Qualifications
- Community College certificate in fundamental accounting or equivalent. Enrollment in, or completion of, CPA program is preferred.
- Three to five years automated accounting, payroll and benefits experience, preferable in a community-based, not for profit human service organization.
- Thorough knowledge of generally accepted accounting principles, practices and audit objectives.
- Demonstrated solid user-level familiarity with accounting, spreadsheet, word processing and database software.
- Strong analytical skills and demonstrated ability to work with a high degree of accuracy and little supervision.
- Effective verbal and written communication skills.
- Familiarity with Sage Accounting is preferred.
