About the Role
We are looking for a reliable, organized, and client-focused Administrative Assistant to provide day-to-day administrative and client service support to two Financial Advisors.
This is an ideal chance for someone who enjoys being the person behind the scenes who keeps things organized, follows up on details, and makes sure clients and Advisors have what they need. The primary focus of this position is Advisor and client support, rather than pursuing a career as an Advisor.
You will work closely with both Advisors to manage client requests, maintain accurate files and records, prepare paperwork, and keep CRM information up to date.
Key Responsibilities
Client Service
- Respond to client inquiries by phone and email in a professional and timely manner
- Assist with routine client servicing requests and follow-ups
- Coordinate information and documentation between clients, Advisors, and external partners
- Help ensure clients receive a consistent and positive service experience
Administrative & File Management
- Maintain accurate and organized client files and records
- Update client information and documentation as required
- Prepare applications, forms, and other paperwork for completion
- Follow up on outstanding information and documentation
- Ensure administrative tasks are completed accurately and on time
CRM & Systems
- Create, maintain, and update client information in the Advisors' CRM
- Keep records current, accurate, and organized
- Learn and work within the various systems and processes used by the Advisors and office
- Assist with maintaining efficient administrative workflows
Advisor Support
- Provide day-to-day administrative support to both Advisors
- Help manage competing priorities and deadlines
- Prepare materials and documentation for client meetings
- Communicate with Advisors regarding outstanding items, client requests, and follow-ups
- Take ownership of assigned tasks and ensure they are followed through to completion
What We're Looking For The ideal candidate is:
- Highly organized and detail-oriented
- Professional and comfortable communicating with clients
- Reliable and able to manage multiple priorities
- Comfortable working independently while collaborating closely with the Advisors
- Confident using computers and willing to learn new software and systems
- A strong written and verbal communicator
- Discreet and committed to maintaining client confidentiality
- Proactive about following up and keeping tasks moving
- Comfortable working in a professional office environment
Previous experience in financial services, insurance, wealth management, banking, administration, or client service is an asset.
Licensing
Both licensed and unlicensed candidates are welcome to apply.
A Life Insurance or Mutual Fund licence is considered an asset, but is not required for the right candidate.
Work Environment
This is a full-time, primarily in-office position supporting two Financial Advisors.
The successful candidate will work closely with both Advisors and will receive training on the systems, processes, and administrative requirements of the practice.
