Administrative Assistant

Support Leadership & Operations at an Industry Leader

As we continue to grow, we're seeking a detail-oriented and tech-savvy Administrative Assistant to support our President and operations team.

Why This Role Matters

You'll be the operational hub that keeps everything running smoothly – from supporting the President with critical tasks to coordinating field operations and maintaining client relationships. Your attention to detail and organizational skills will directly impact our service delivery and client satisfaction.

This isn't a typical desk job. You'll work with cutting-edge technology, coordinate with field teams, and play a vital role in our seasonal operations during our busy winter snow and summer landscaping periods.

What You'll Do

Executive & Administrative Support

- Provide direct administrative support to the President of the company
- Manage communications including phones, emails, and client inquiries with professionalism
- Maintain organized filing systems and ensure accurate documentation
- Handle office operations and coordinate with various departments
- Manage office and facility supplies, proactively monitoring and restocking as needed

Financial & Payroll Operations

- Support payroll processing and maintain complete employee records
- Assist with invoicing processes and client statement management
- Handle accounts payable responsibilities and vendor coordination
- Track job costing and financial data with accuracy




- Collect and verify timesheets for payroll accuracy
- Perform daily payroll reconciliation using GPS tracking systems

Operations & Dispatch Coordination

- Monitor weather conditions and send critical snow event notifications to clients and property managers
- Create and process work orders for landscaping and snow removal services
- Assist with crew scheduling and route optimization
- Track daily job progress and service completion
- Prepare service schedules and operational updates for management teams
- Ensure GPS tracking accuracy for crew accountability

Client Communication & Support

- Respond to client inquiries and maintain positive customer relationships
- Provide real-time communication during weather events or service changes
- Support new client onboarding including documentation and service setup
- Assist with billing inquiries and estimate follow-ups
- Maintain professional communication standards across all client interactions

What You Bring

Technical Skills

- Proficiency in Microsoft Excel, Word, Sage 50, and Gmail
- Experience with data entry and document creation/processing
- Ability to learn recent software systems quickly
- Comfort with technology and GPS tracking systems

Professional Experience

- Previous experience in administration, data entry, or office management
- Experience in landscaping, property maintenance, or service industries is a plus
- Understanding of payroll processes and financial tracking preferred
