Primary Purpose:
The Academic Integrity and Appeals Coordinator is responsible for the effective administration of academic and non-academic integrity processes and the coordinated management of student appeals arising from academic decisions, administrative errors, policy exemptions, academic standing, grade-related matters, and other eligible issues. This incumbent ensures consistent and compliant application of relevant university policies and procedures, oversees the intake, documentation, review and resolution of cases, and maintains accurate and confidential records and reporting to support institutional oversight.
Working in close collaboration with students, faculty, staff, and academic leadership, the Coordinator provides informed guidance on policy interpretation, facilitates fair and timely appeal processes, and contributes to the development and delivery of training and educational initiatives related to academic integrity and appeals. This position plays a key role in upholding the university’s standards of academic excellence, procedural fairness, and student-centered service across academic integrity and appeals functions.
Specific Responsibilities:
1. Academic Integrity Oversight:
- Develop, implement, maintain, and gain approval for all academic and non-academic integrity policies and procedures in alignment with university standards.
- Conduct investigations into alleged academic and non-academic misconduct, gathering and recording relevant evidence.
- Coordinate with faculty and academic departments to ensure consistent application of academic and non-academic integrity policies.
- Provide guidance and support to faculty and students regarding academic and non-academic integrity issues.
- Appeals Coordination:
- Coordinate intake, tracking, review, and processing of student appeals related to academic decisions, administrative errors, policy exemptions, academic standing, grade-related matters, and other eligible issues.
- Ensure appeals are complete, appropriately documented, and routed to the correct decision makers or committees.
- Review and process appeal requests, ensuring compliance with university policies and procedures.
- Schedule and coordinate appeal hearings and facilitate communication between students, faculty, staff, and academic leadership to support timely resolution.
- Prepare correspondence, summaries, detailed reports and recommendations, and supporting documentation for appeal outcomes while maintaining confidentiality.
- Policy Interpretation and Administration:
- Interpret and apply university policies, procedures, and guidelines consistently in the course of appeal administration and student support.
- Contribute to the review and updating of policies, procedures, templates,
and process documentation as required.
- Work collaboratively with internal partners to support compliance, consistency, and operational clarity across student affairs, academic integrity, and appeals processes.
- Training and Education:
- Develop and deliver training programs for faculty and staff on academic and non-academic integrity and appeals procedures.
- Organize workshops and informational sessions for students to promote understanding of academic integrity policies.
- Records, Reporting, and Case Management:
- Maintain accurate, confidential, and organized records of all academic and non-academic misconduct cases and appeals, decisions, communications, and related documentation.
- Prepare regular reports, summaries, and analytics on academic and non-academic integrity and appeals activities for university leadership including appeal volumes, trends, service outcomes, and process issues for leadership review.
- Monitor case progress to ensure deadlines, service expectations, and procedural requirements are met.
- Collaboration and Support:
- Collaborate with other university departments, such as Admissions, Student Success, Academic Services, University Registrar, and/or Compliance, to address complex cases or issues.
- Provide support and advice to students who are navigating the appeals process.
- Act as a liaison between students, faculty, and administration to facilitate resolution of academic disputes.

Education and Experience:
- Minimum three (3) years in a post-secondary environment supporting student services, student affairs, registrar operations,
appeals, or a related field is required. Experience with academic integrity issues and appeals is considered an asset.
- Post-Secondary education in student affairs, business, education, social sciences, public administration, or related discipline is required. A master’s degree is considered an asset.
- Experience supporting student appeals, policy administration, student conduct, or student support services is preferred.
- Experience drafting correspondence, reports, summaries, or policy-related documentation is an asset.
- Excellent written and verbal communication skills in English are required.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Adobe is required.
