Reporting to the Administration Manager, you will be part of a team of 4 Assistants. You will play a key role in the management and compliance of expense accounts for all our offices. You will collaborate with employees and various teams to ensure rigorous reimbursement processing and continuous process improvement.
Key Responsibilities
- Receive and process expense claims from employees.
- Verify the accuracy of the information and supporting documents submitted (amounts, taxes, dates, cost centers, approvals).
- Ensure compliance of expense accounts submitted by employees by verifying the application of the organization's policies, procedures and documentation requirements.
- Follow up with employees when information is missing.
- Answer employee questions.
- Follow up on reimbursements.
- Produce reports on expenses and reimbursements.
- Analyze spend data to identify trends, anomalies, and opportunities for process improvement.
- Train and coach employees in the use of SAP Concur.
- In collaboration with the other Assistants, ensure the timely succession of the administrative Agent.
Skilled Requirements
- Diploma of Vocational Studies (D.E.P.) or Attestation of Collegial Studies (A.E.C.) in a relevant field.
- Minimum two (2) years of experience in an administrative, accounting or similar position.
Knowledge And Skills
- Excellent ability to analyze and validate data accuracy.
- Rigor, consistency and attention to detail.
- Autonomy and discretion.
- Discernment.
- Organizational skills, priority management and ability to manage multiple files simultaneously.
- Excellent customer service skills and collaborative approach.
- Advanced proficiency in Microsoft 365 applications (Excel, Word, Outlook, Teams, SharePoint).
- Knowledge of SAP Concur and/or Rippling is an asset.
- Bilingual in both spoken and written French and English, in order to interact daily with colleagues in offices outside Quebec as well as with external partners across Canada, the United States, and internationally.
