Working in the largest hotel in Vancouver A beautiful, energetic environment with an exceptional team The Banquet Operations Coordinator provides administrative and operational support to the Banquets department and its leadership team. The position is responsible for coordinating daily banquet documentation, billing, staffing and scheduling support, departmental communication, and administrative functions.

The role serves as a key communication point between Banquets and other hotel departments and requires a high degree of accuracy, attention to detail, organization, discretion, and adaptability in a fast-paced hotel environment.

What your day will look like:

- Prepare and maintain daily banquet operational documentation, including job assignments, Houseman Turnover Sheets, Server and Coffee Break Sheets, buffet labels, event signage, and other required departmental paperwork.
- Review Banquet Event Orders (BEOs), maintain current event information, and communicate relevant updates and changes to Banquet leadership and operational teams.
- Assist Banquet leadership with weekly employee scheduling, including reviewing availability, preparing staffing information, processing schedule changes, and responding to sick calls and changing operational requirements.
- Support day-to-day staffing coordination by assisting leadership with adjustments based on business levels, employee availability, and last-minute operational changes.
- Complete daily banquet billing accurately across Marriott and property-specific billing systems, identify discrepancies, and coordinate with the appropriate departments to obtain or correct required information.
- Liaise with Catering, Sales, Events, Accounting, Kitchen, and other hotel departments regarding event details, site inspections, billing requirements, staffing information, and other operational matters.
- Monitor and coordinate Banquet Office communications, including departmental email correspondence, requests, updates, and follow-up items.
- Maintain accurate departmental records, filing systems, office supplies, and inventory.
- Prepare equipment and supply purchase orders for management approval as required.
- Provide administrative and project support to the Banquet Manager, Assistant Banquet Managers, Food & Beverage Director, and other departmental leadership.
- Assist with departmental projects, reporting, documentation, and process-improvement initiatives as assigned.
- Maintain confidentiality and ensure departmental and employee information is handled appropriately.




- Perform other related duties as assigned based on departmental and operational requirements.

Your experience and skills include:
- Previous experience in hospitality, Food & Beverage, Banquets, hotel administration, or a comparable administrative/operations environment is preferred.
- Strong proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
- Experience with Marriott systems, catering/event software, point-of-sale systems, or hotel billing systems is considered an asset.
- Strong written and verbal communication skills.
- Strong numerical and administrative skills with the ability to process billing and maintain accurate records.
- High school diploma or equivalent required; post-secondary education in hospitality, business administration, or a related field is considered an asset.

Working conditions:
- Primarily office-based within a busy hotel and Banquets environment.
- Regular interaction with Banquet leadership, employees, and multiple hotel departments.
- Workload and priorities may change quickly based on business volumes, event requirements, staffing changes, and operational needs.
- Requires prolonged computer use and management of multiple systems, communications, and deadlines.
- Schedule may vary according to business and departmental requirements.

- Must be eligible to work in Canada. Valid Work or Study Permits – 1 Year Minimum Validity.
