We are looking for an experienced, detail-oriented, and highly organized Bookkeeper to manage the day-to-day bookkeeping and accounting support functions of our company.
The successful candidate should be comfortable working independently, maintaining accurate financial records, managing accounts receivable and payable, preparing tax-related bookkeeping reports, communicating with clients regarding invoices and payments, and ensuring that all supporting accounting documentation is properly organized and maintained.
Previous experience working in a professional services, consulting, legal, immigration, or similar office environment would be considered a strong asset
Key Responsibilities
- Manage day-to-day bookkeeping activities.
- Prepare, issue, record, and track approximately 40+ client invoices per month.
- Process and record approximately 50+ vendor bills and expense documents per month.
- Maintain accurate Accounts Receivable and Accounts Payable records.
- Record and reconcile payments received through different payment methods and platforms.
- Perform bank and credit card reconciliations.
- Match invoices, payments, receipts, bills, and supporting documentation.
- Maintain organized electronic accounting records, including invoices, bills, receipts, and related supporting documents.
- Monitor outstanding client balances and follow up on overdue payments when required.
- Reply to client emails regarding invoices, payment confirmations, outstanding balances, receipts, and other account-related matters.
- Communicate professionally with clients regarding billing and payment matters.
- Review transactions for accuracy and investigate discrepancies.
- Monitor and manage Employer Health Tax (EHT), income tax, and other required tax installment payments and deadlines.
- Prepare financial information and supporting documentation for the external accountant.
- Maintain accurate records within the company’s accounting and invoicing systems.
- Ensure accounting records are properly classified and supported by appropriate documentation.
- Work closely with management and administrative staff regarding billing, payments, expenses, and accounting documentation.
- Identify inconsistencies, missing payments, incorrect entries, or missing supporting documentation and follow up as required.
- Assist with year-end bookkeeping preparation and provide requested records to the accountant.
- Maintain organized records for tax, audit, and accounting purposes.
Qualifications
- Previous experience in a professional services, consulting, legal, immigration, or similar office environment would be an asset.
- Minimum 3 years of bookkeeping or accounting experience.
- Strong knowledge of Accounts Receivable and Accounts Payable.
- Experience with invoicing, payment reconciliation,
bank reconciliation, and month-end procedures.
- Experience preparing GST reports and supporting documentation.
- Familiarity with Employer Health Tax (EHT) requirements in British Columbia.
- Experience with payroll-related accounting and statutory remittances would be an asset.
- Robust understanding of Canadian bookkeeping and accounting practices.
- Experience with accounting software such as QuickBooks, Zoho Books, Zoho Invoice, or similar platforms.
- Experience with Stripe or other online payment processors would be an asset.
- Strong Microsoft Excel or Google Sheets skills.
- Experience preparing bookkeeping records for year-end accountants.
- Excellent attention to detail and accuracy.
- Strong organizational and time-management skills.
- Ability to manage multiple accounting responsibilities and meet deadlines.
- Ability to work independently and take ownership of bookkeeping responsibilities.
- Strong written and verbal communication skills.
- Professional and courteous communication when dealing with clients regarding billing and payment matters.
- Ability to maintain strict confidentiality regarding client, financial, and business information.
- Fluency in English, both written and spoken, is required, as the position involves regular communication with clients, vendors, and internal team members.
- Russian language proficiency is required.
Pay: $28.00-$30.00 per hour Expected hours: 15.0 – 24.0 per week
