Position Overview
Our client, the Government of Nova Scotia, is seeking a Clerk 2 (ADM03) –
- Application Administration to provide administrative and application support to departmental programs and services.
Working under general supervision, the successful candidate will perform a variety of administrative assignments while applying established legislation, policies, procedures, methods, rules, and standards. The position requires strong attention to detail, sound judgment, accuracy, confidentiality, and the ability to work independently while meeting established deadlines.
Key Responsibilities
- Provide day-to-day administrative support to departmental programs and services.
- Process, maintain, and update records and information within departmental databases and electronic information systems.
- Enter, verify, and maintain accurate information while ensuring data integrity and completeness.
- Identify discrepancies, investigate routine issues, and refer complex matters to the appropriate individuals.
- Prepare, format, file, and distribute routine correspondence, reports, forms, and other documentation.
- Maintain electronic and physical files and records in accordance with established procedures.
- Support established administrative processes and departmental programs.
- Prepare and process expense claims and related administrative documentation.
- Maintain office supply inventory and, where applicable,
petty cash records.
- Distribute inter-office mail and documentation.
- Respond professionally to routine inquiries received by telephone, electronically, or in person.
- Apply established policies, procedures, acts, rules, regulations, and standards when completing assigned work.
- Exercise judgment in selecting the appropriate method or procedure for routine administrative tasks.
- Maintain confidentiality of departmental and client information.
- Perform other related clerical and administrative duties as required.
Requirements
Mandatory Qualifications
Candidates must meet the following requirements:
- Must be a Canadian Citizen or Permanent Resident of Canada.
- Completion of secondary school.
- Post-secondary education OR at least two years of related experience, or an equivalent combination of training and experience.
- Experience working with databases and electronic information systems.
- Demonstrated ability to work accurately and meet deadlines.
- Experience with verifying data integrity and identifying/resolving discrepancies.
- Demonstrated ability to work independently with minimal supervision.
- Demonstrated ability to maintain confidentiality and handle information appropriately.
- Strong understanding and ability to apply established administrative methods, procedures, policies, acts, rules, regulations, and standards.
Preferred / Asset Qualifications
- Experience working with LaMPSS is considered an asset.
- Experience working with Microsoft Lists (MS Lists) is considered an asset.
- Previous experience in a government, public-sector, or regulated environment is an asset.
- Previous experience providing administrative support within a departmental or program environment is an asset.

The successful candidate should be able to work independently, manage routine administrative responsibilities efficiently, maintain a high level of accuracy, and appropriately escalate issues that require further review.
