About Us

Carabao Care & Counselling is a new, collaborative healthcare clinic bringing together family medicine and counselling services under one roof. We are committed to providing compassionate, culturally responsive, patient-centred care while creating a supportive environment for both our patients and our team.

We are looking for an experienced and motivated Clinical Office Manager to play a key role in helping us build and grow our clinic from the ground up.

This is an exciting opportunity for someone who enjoys both hands-on patient care and clinic leadership. You will have a meaningful voice in how the clinic operates and the opportunity to help shape our workflows, culture, and growth as we establish our practice.

The Opportunity

We are seeking someone with previous experience as a Clinic Manager, Office Manager, Lead Medical Assistant, or senior Medical Assistant who is comfortable taking initiative and working independently.

The successful candidate will help oversee the day-to-day operations of the clinic while also providing hands-on medical assistant support to our physicians.

This role would be an excellent fit for someone who is organized, proactive, personable, and solutions-oriented, and who wants to grow with a new clinic rather than simply step into an established system.

Key Responsibilities

Clinic Operations & Management

- Oversee the day-to-day operations of the medical clinic
- Help develop and implement efficient clinic workflows, policies, and procedures
- Coordinate clinic schedules, staffing, supplies, and administrative operations
- Support recruitment, onboarding, training, and supervision of administrative and clinical support staff
- Help foster a positive, collaborative, and patient-centred workplace culture
- Identify operational challenges and develop practical solutions
- Coordinate with physicians, counsellors, staff, and external partners
- Assist with clinic opening, implementation, and ongoing growth
- Maintain appropriate standards related to privacy, infection prevention, occupational health and safety, and regulatory requirements
- Manage inventory, medical supplies, equipment, and clinic maintenance
- Assist with quality improvement and process optimization

Medical Assistant Responsibilities

- Provide hands-on clinical support to family physicians




- Prepare examination and procedure rooms
- Obtain and document patient vitals and histories as appropriate
- Assist with minor procedures and clinical examinations
- Perform appropriate point-of-care testing and other clinical tasks within scope of training
- Maintain clinical rooms, supplies, and equipment
- Ensure appropriate infection prevention and sterilization procedures
- Assist with patient flow and coordination throughout the clinic

MSP Billing & Administrative Responsibilities

- Familiarity with BC MSP billing and physician billing processes
- Assist physicians and clinic staff with billing-related workflows
- Review billing processes for accuracy and completeness
- Understand common MSP billing requirements and identify potential billing issues
- Assist with reconciliation and administrative reporting as required
- Experience with Teleplan/PAS and/or EMR-based billing systems is an asset

Qualifications & Experience

Required:

- Previous experience in a Clinic Manager, Office Manager, Lead Medical Assistant, Senior Medical Assistant, or similar leadership role
- Strong understanding of medical clinic operations and workflows
- Familiarity with BC MSP physician billing
- Strong organizational, communication, and problem-solving skills
- Ability to work independently and take ownership of responsibilities
- Comfortable working in a fast-paced, collaborative healthcare environment
- Strong computer and EMR skills
- Excellent attention to detail and ability to prioritize competing demands

Education:

- Degree, diploma, or formal education in Healthcare Administration, Healthcare Management, Business Administration, Health Sciences, Medical Office Administration, or a related field is preferred
- Equivalent combination of education and relevant healthcare/clinic management experience will be considered

Assets:

- Experience working in a family practice or primary care clinic




- Experience with LFP billing and/or BC primary care billing
- Experience with Teleplan, PAS, or other BC physician billing systems
- Experience with EMR implementation or clinic transitions
- Experience hiring, training, and supervising clinic staff
- Experience developing clinic policies, SOPs, and workflows
- Experience supporting minor procedures
- Previous experience working in a multidisciplinary healthcare setting
