Opera on the Avalon (OOTA) is Atlantic Canada’s only professional opera company, based in St. John’s, Newfoundland and Labrador. OOTA produces live opera, concerts, digital and film projects, and programs that support emerging artists while showcasing the incredible talent and stories of Newfoundland and Labrador.
Behind every production is a creative process filled with ideas, conversations, rehearsals, discoveries, challenges, and countless details. Capturing and organizing that process helps tell the story of how a production comes to life and creates a valuable record for the organization, artists, audiences, and future projects.
The Opportunity
Opera on the Avalon is seeking a creative, organized, and detail-oriented Creative Process & Production Documentation Specialist to join our team for a 52-week position through the Job Creation Partnership Program.
This role is focused on capturing, organizing, and documenting the creative and production journey from the early stages of an idea through rehearsals, production, performance, and beyond.
You will work closely with OOTA staff, artists, directors, designers, musicians, production teams, and other collaborators to document the work happening behind the scenes.
From rehearsal notes and production timelines to photographs, video, interviews, creative materials, and project records, you will help ensure that the creative process doesn't disappear once the curtain comes down.
This is an ideal chance for someone who is curious about the creative process, enjoys working with artists, has strong organizational skills, and wants to gain experience in the professional arts and production sector.
Key Responsibilities
Creative Process Documentation
· Document the development of productions and creative projects from concept through completion.
· Take detailed notes and maintain organized records of the creative process.
· Help document the ideas, decisions, challenges, and discoveries that shape a production.
· Conduct interviews or informal conversations with artists and creative team members as appropriate.
Production Documentation
· Maintain organized production records, schedules, rehearsal information, notes, and supporting materials.
· Document key production milestones, rehearsals, performances, and behind-the-scenes activities.
· Assist with photography, video, audio, and other forms of documentation.
· Organize and catalogue digital files, photographs, recordings, and other project materials.
· Ensure documentation is clearly labelled, stored, and easy for the team to access.
Content & Storytelling
· Help identify interesting stories, moments, and creative developments that can be shared with audiences.
· Assist with creating written and visual content about OOTA productions and artists.
· Support the development of behind-the-scenes content for social media, newsletters, websites, programs, and other communications.
· Assist with interviews and artist profiles.
Research & Archiving
· Research and gather background information related to productions, artists, and creative projects.
· Assist with maintaining and developing OOTA's digital and physical archives.
· Organize historical and current production materials.
· Help establish consistent systems for storing and accessing documentation.
Production & Administrative Support
· Assist the artistic and administrative teams with production-related tasks.
· Help prepare meeting notes, project summaries, timelines, and other documentation.
· Track important deadlines, deliverables, and production milestones.
· Provide general support to the team as required.

· Comfortable using computers, email, Microsoft Office/Google Workspace, and digital file-management systems.
