Irwin’s Safety is currently looking for a Divisional (Planner) Scheduler for our Emergency Response Division. This position can operate remotely or from one of our offices (Calgary, Elkford, Kelowna, Prince George or Prince Rupert).
The Divisional Planner runs the day-to-day planning, scheduling, and coordination of the division’s work — from the moment a job is handed over by the account manager through to closeout. You keep crews, equipment, and materials scheduled and ready, manage each project to completion, and keep the client informed as the work gets done.
You report to the Divisional Manager and work alongside the divisional administrator, field supervisors, and the account manager. You keep the work moving and flag problems early; decisions on people, budget, and client commitments sit with the Divisional Manager.
Responsibilities
- Plan and coordinate every stage of the job, from handover to closeout.
- Run a Client Needs Analysis to capture what the job requires, and build it into the plan.
- Build and manage the crew schedule and project timelines.
- Assign people to jobs by availability, skill, and tickets.
- Schedule equipment and materials so they’re on site, in working order, when the work needs them.
- Track job status and flag scheduling conflicts early.
- Set schedules for transportation — to and from the location, and to and from site.
- Manage accommodations scheduling for out-of-town projects.
- Build in backup for people, equipment, and incidental resources so a gap doesn’t stall the job.
- Manage cost by using resources efficiently and drawing on local candidates where possible.
- Help coordinate subcontractors and vendors.
- Raise recruitment needs to the resources team when the work calls for more people.
- Coordinate with the Safety Team to get the project safety plan completed before work starts.
- Set the paperwork and certification requirements for each job; the administrator and field complete and verify them.
- Build each job’s compliance requirements into the plan
Qualifications
- Previous experience as a Scheduler/Dispatcher or in a similar role within an industrial company is preferred.
- Strong communication and customer service skills
- Proficiency in using scheduling software is highly desirable.
- Proficiency in Microsoft Office 365 is required
- Excellent organizational skills with the ability to multitask in a fast-paced environment.
- Ability to work collaboratively within a team while also being self-motivated.
- Experience with Emergency Response (medic / rescue) would be considered an asset
