ABOUT YOU:

As a member of the Donor Services team, the Donations Processing Representative provides campaign gift, pledge, payment and designations handling/processing services. In addition, this position is responsible for effectively communicating with donors and staff and delivering a high level of customer service. It is an important part of delivering a positive donor experience.

ABOUT THIS ROLE:

We are hiring Donations Processing Representatives (DPR) to join our Donor Services team. This role is a great fit if you are looking for a hands-on operational role that builds strong skills in customer service, data processing, and working within modern, system-based donation environments.

Our donation processing work has evolved significantly with most transactions now flow through electronic channels and system integrations, making accuracy, validation, and problem-solving just as key as processing speed.

WORK SCHEDULE/FLEXIBILITY:

This position is regular part-time, with seasonal fluctuations as follows:

- Campaign season (approximately Sept – Mar): full time hours (35 hours, 5 days per week) based on operational needs
- Non-campaign season (approximately Apr – Aug): (approximately 21 hours, 3 days per week) supporting ongoing processing and operational continuity.

This structure supports both predictable part-time work and flexibility during peak campaign periods.



**This position may be required to attend the office on any day and up to five (5) days per week, based on operational needs.

DUTIES & RESPONSIBILITIES:

Key Responsibilities:

- Provides high levels of external and internal customer service
- Data Entry and processing online campaign donations, recording of employee donations, creating new constituent IDs and maintaining address changes and other account information as required in Salesforce
- Creates, receives and processes electronic imports and exports from internal and external sources
- Monitors all aspects of processing for errors, investigates and corrects as required
- Responds to oral and written inquiries from internal and external sources based on knowledge of standard departmental guidelines, procedures and policies
- Receives physical and electronic/digital donations from Campaign Associates, staff and public
- Makes adjustments, and corrections to gifts/pledges, physical/digital payments and designations and provides appropriate supporting documentation as required and applicable
- Strives towards efficiency and effectiveness in processes and customer service. Providesassistance with other duties within the department as required

General:

- May participate on Community Project Team(s)
- Is a member of the Administrative Support team. May provide switchboard relief and perform other administrative duties
- Performs other duties related to the qualifications and requirements of the job

QUALIFICATIONS & REQUIREMENTS: Education & Experience

- High school diploma plus additional courses in office administration, customer service, or basic accounting, or equivalent
- Two (2) years office experience in a customer service, donations processing and/or accounting environment preferably involving data entry or payment processing in a fast-paced environment
- Experience using Customer Relationship Management (CRM) systems (Salesforce) in non-profit sector

Skills

- Ability to understand and follow established procedures for entering and validating payment information
- Must exhibit high attention to task orientated detail




- Proficient in Microsoft Office Suite products
- Ability to exercise a high level of tact and discretion in internal and external interactions is critical.
- Ability to compose simple, clear, concise correspondence
- Ability to learn and adapt quickly to new software systems
- Must be able to meet assigned objectives by adapting and modifying the sequence of work, methods and standards to meet changing conditions
- Ability to build and maintain relationships with all staff
- Knowledge of general office processes and procedures

WORKING CONDITIONS:

- Some hours outside of business hours to attend meetings and events
- Organizational core business hours (Monday – Friday, 8:30-4:30)

This is a bargaining unit role with CUPE Local 1760. This position is at pay grade 26 which is $30.87 hourly.

Candidates must live within 80 KMs (commuting distance) from our office as this is an in-office position.
