Position Title
Driver Administrator
Department

Safety Manager
Position Summary The Driver Administrator provides administrative and compliance support for the company’s driver workforce. This position supports driver orientations, driver file administration, hours-of-service and log auditing, data entry, document control, and maintaining accurate, up-to-date driver records.
The Driver Administrator works closely with the Safety, Operations, Dispatch, and Maintenance departments to ensure driver documentation and compliance records are complete, accurate, and maintained in accordance with company policies and applicable transportation regulations.
Key Responsibilities
Driver Orientation
- Conduct and assist with new-driver orientations.
- Review company policies, procedures, safety requirements, and expectations with new drivers.
- Ensure all required orientation documentation is completed and signed.
- Maintain records of completed orientation and training.
- Assist with follow-up training and documentation as required.
- Collect and submit documents for vehicle registrations through the Government's ATIOS website.
- Submit completed registry invoices to the Registry agent.
- Obtain the appropriate jurisdictional vehicle operating permits.
Driver Log & Compliance Auditing
- Audit driver hours-of-service records and supporting documentation.
- Review electronic logs for accuracy, completeness, and compliance with company requirements.
- Identify log errors, missing information, improper duty status, personal conveyance issues, and other potential compliance concerns.
- Follow up with drivers and management regarding discrepancies.
- Maintain records of audit findings and corrective actions.
- Assist with regular driver file and compliance audits.
Data Entry & Record Management
- Enter and maintain driver information in company safety and transportation systems.
- Maintain accurate driver qualification and compliance records.
- Update driver information, training records, violations, abstracts, certificates, and other required documentation.
- Verify information for accuracy and completeness.
- Maintain confidentiality of driver and company information.
Filing & Document Control
- Maintain organized electronic and paper driver files.
- Ensure required documents are properly filed and readily accessible.
- Monitor documents for expiry dates and assist with obtaining updated documentation.
- Scan, upload, and archive documents as required.
- Assist with preparing driver files for internal and external audits.
General Administration
- Provide administrative support to the Safety and Operations departments.
- Prepare reports, spreadsheets, and correspondence as required.
- Assist with compliance investigations and corrective-action documentation.
- Communicate professionally with drivers, owner-operators, management, and other departments.
- Perform other duties related to driver administration and safety compliance as assigned.
Qualifications
Required
- Minimum High School Diploma or equivalent.
- Strong organizational and administrative skills.
- Good attention to detail and accuracy.
- Basic computer skills, including Microsoft Word and Excel.
- Ability to maintain confidential information.
- Ability to communicate effectively with drivers, management, and coworkers.
- Ability to prioritize multiple tasks and meet deadlines.
Preferred / Assets
- Previous experience or knowledge of the transportation, trucking,
or logistics industry is an asset but not required.
- Experience with electronic logging devices (ELDs) and hours-of-service requirements is an asset.
- Experience with transportation safety or compliance programs is an asset.
- Certification or training as an Internal/Lead Auditor is an asset.
- Experience conducting audits, inspections, or quality-control reviews is an asset.

Working Conditions
- Primarily office-based.
- Regular interaction with drivers, owner-operators, dispatch, safety personnel, and management.
- Occasional work in the shop, yard, or terminal environment may be required.
- May occasionally be required to work outside normal hours to support operational or compliance requirements.
Performance Expectations The Driver Administrator is expected to maintain accurate records, complete assigned audits and administrative duties on time, identify compliance concerns promptly, and support the company’s commitment to safe, efficient, and compliant transportation operations. Education: High School Diploma or equivalent
Transportation Experience: Asset, but not required
Internal Auditor Certification: Asset
Computer Skills: Required
Position Type: Full-Time
Pay: $50,000.00-$60,000.00 per year
