- A cover letter that includes your interest in the real estate development industry Job Overview We are looking for a seasoned administrative professional who wants stability and the opportunity to build a meaningful long term career with a firm on a genuine growth trajectory. This is a permanent position with a clear path to increasing responsibility as the company grows. The most important quality we are hiring for is this: you have a background in Finance, Management, Operations or similar, are a self starter and a critical thinker. You take initiative, you anticipate needs, spot problems before they become urgent, and use sound judgment to solve things independently. You are highly organized, self directed, and take full ownership of the administrative systems you manage. You will serve as the central coordinating force and reliable administrative anchor at HuronDC, keeping the directors' schedules, files, projects, and external stakeholder relationships running smoothly and in real time. Real estate industry experience is strongly preferred. Candidates with an administrative or operations background in Real Estate Sales / Deal Coordination, Real Estate Development, Real Estate Law, Urban Planning, or Marketing will be especially well suited to this role, given the technical nature of the files, terminology, and stakeholders involved. This role also carries genuine visibility. You will be comfortable representing the company in front of clients, consultants,
and municipal stakeholders, and you will have real opportunity to grow into a role of expanding scope and responsibility as the company continues to scale. Key Responsibilities
- Organize and maintain all files, documents, and records, both digital and physical, with electronic and hard copy filing completed in real time
- Prepare, proofread, and edit correspondence, reports, presentations, and development related documents
- Manage DocuSign workflows for electronic signatures and document tracking
- Prepare daily and weekly checklists for the directors and deliver a clear written weekly summary of completed work and outstanding items
- Manage and maintain multiple executive calendars using Microsoft Outlook, Excel, and Egnyte
- Coordinate meetings, appointments, and travel arrangements with accuracy and foresight
- Track and organize development related materials, including planning applications, conditions of approval, consultant reports, contracts, and drawings
- Interpret existing processes and build practical, repeatable workflows that improve how the office runs
- Prepare and check figures across budgets, schedules, and reports with a high degree of numerical accuracy
- Represent the company professionally in client, consultant, and municipal meetings as needed What We Are Looking For
- A demonstrated self starter with strong,
independent critical thinking and problem solving skills. This matters more to us than any single technical skill
- Excellent math skills and strong comfort working with numbers, budgets, and schedules
- Real estate industry experience (development, sales / deal coordination, real estate law, or urban planning) strongly preferred
- Significant proven administrative or clerical experience in a professional office environment
- Works best in a Windows environment, with robust proficiency across Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Experience with Egnyte or similar document management platforms, and DocuSign
- Comfortable interpreting existing processes and building clean, efficient workflows from scratch
- Professional and comfortable representing the company directly to clients and external stakeholders
- Distinguished organizational skills with the ability to manage multiple priorities independently
- High typing speed, strong data entry accuracy, and precise proofreading ability
- Proven ability to work with minimal supervision while maintaining high standards of accuracy and professionalism
- A genuine desire to grow within the company and take on increasing responsibility over time
- Experience with at least two AI models other than ChatGPT and Grok, and comfort applying them to everyday office work Ontario Experience Previous exposure to Ontario real estate development or municipal processes is an asset but not required.
