The Western Ontario Athletic Association (W.O.A.A.) is seeking a highly organized, detail-oriented, and collaborative Executive Administrator to oversee the daily administrative and operational functions of one of Ontario’s largest regional hockey organizations. The W.O.A.A. is a governing sports body for communities in Southwestern Ontario. Established in 1942, it has a long history of providing amateur sports programs for area youth and adults.
JOB OVERVIEW The Executive Administrator serves as the primary administrative contact for the Association’s Member Associations, volunteers, officials, and governing bodies, including the Ontario Minor Hockey Association (OMHA), Ontario Hockey Federation (OHF), Hockey Canada, and other hockey partners. This is a full-time position based out of the W.O.A.A. Office in Wingham, Ontario with a hybrid work schedule.
Reporting to the W.O.A.A. Board of Directors and Sports Chairperson(s), the Executive Administrator is responsible for supporting and administering day-to-day office operations (i.e. financial administration, registration processes, communications, and other various duties as required). This position requires occasional evening meetings/clinics/sports functions that will require attendance, as well as some travel.
KEY RESPONSIBILITIES
- Issue, review and validate all Membership certificates, registrations, and official Association documentation,
- Coordinate and attend Board, Committee, Annual, and other special meetings; including preparing meeting agendas, packages, minutes, and follow-up correspondence,
- Perform day-to-day administrative office operations,
- Serve as the primary point of contact for Member Associations, volunteers, officials, and the public, responding to inquiries in a timely and professional manner,
- Support the Sports Chairpersons and Board of Directors with seasonal operations, Committee initiatives, and special projects,
- Receive, record, disburse, reconcile and account for all Association funds, including invoicing, deposits, payments,
and financial record-keeping,
- Coordinate annual team registrations, roster administration, and Hockey Canada Registry (HCR) support for Membership as required,
- Assist in the planning and administration of tournaments, clinics, development programs, and other Association-wide events as needed.
QUALIFICATIONS & EXPERIENCE
- Post-secondary diploma or degree in Sport Management, Recreation, Business Administration, Business Management or a related field.
- Minimum of two (2) years experience in Administration, Operations, or a similar role is preferred.
SKILLS & KNOWLEDGE
- Strong organizational, time management, and multi-tasking skills,
- Strong written and verbal communication skills,
- High level of accuracy and attention to detail,
- Basic knowledge of financial and accounting practices,
- Proficiency with Microsoft Office Suite (i.e. Word, Excel, Outlook, Power Point),
- Proficiency/familiarity with other computer/business office software pertaining to the position (i.e. Hockey Canada Registry, theOneDB, W.O.A.A. website, Zoom, Canva, Adobe Suite),
- Experience preparing agendas, minutes, reports, and professional correspondence,
- Ability to work independently while supporting a volunteer Board of Directors and various standing Committees,
- Valid Ontario driver’s license and access to reliable transportation for meetings and events,
- Strong interest in sports or experience in the recreation field is an asset.
