Are you passionate about people, technology, and creating exceptional employee experiences? We're looking for an HRIS Generalist to join our Leamington team. In this role, you will be the driving force behind our HR systems, employee data integrity, onboarding experience, benefits administration, recruitment support, and people-focused initiatives.
You'll have the opportunity to influence process improvements, deliver meaningful insights through data, and help create a positive employee experience from hire to retirement.
Role Profile The HRIS Generalist is responsible for maintaining the integrity, efficiency, and effectiveness of the Human Resources Information System (HRIS) and ADP Workforce Now while supporting key HR administrative functions and employee programs. This role serves as the primary resource for HR systems management, data reporting, benefits administration, employee support, and front-line recruitment activities for the Leamington facility. You will contribute to continuous process improvement and deliver a positive employee experience.
HRIS Management
- Maintain and update employee records within the HRIS ensuring data accuracy, integrity, and confidentiality.
- Configure and customize the HRIS to meet organizational requirements and improve HR workflows.
- Generate, analyze, and distribute HRIS reports to support decision-making and workforce planning.
- Troubleshoot ADP Workforce Now issues and partner with appropriate stakeholders to resolve system-related concerns.
- Collaborate with HR and IT teams to implement system upgrades, enhancements, and process improvements.
- Ensure data quality through regular audits, validation, and corrective action processes.
HR Administration
- Prepare and issue employment agreements, offer letters, and other HR-related documentation.
- Coordinate and facilitate employee onboarding activities to ensure a positive new hire experience.
- Manage employee lifecycle transactions including promotions, transfers, status changes, and terminations within the HRIS.
- Maintain employee records in accordance with company policies and applicable legislation.
- Support HR compliance initiatives and documentation requirements.
Benefits Administration
- Administer employee benefits programs, including enrollment, maintenance, and employee communications.
- Update benefits information within the HRIS to ensure accurate employee records.
- Serve as a resource for employee benefits inquiries and provide guidance regarding available programs.
- Liaise with benefits providers and external vendors to resolve issues and maintain effective working relationships.
- Assist with periodic reviews of benefits offerings and provide recommendations for improvements.
Employee Support
- Act as the primary point of contact for employee and manager inquiries related to the ADP Workforce Now.
- Deliver ADP Workforce Now training and system support to employees, managers, and HR team members.
- Assist with general HR administrative activities and projects as required.
- Support initiatives that enhance employee engagement and overall employee experience.
Data Analysis and Reporting
- Compile, analyze, and interpret HR data to identify trends and provide recommendations to HR leadership.
- Develop and maintain HR dashboards, metrics, and reporting tools.
- Support workforce planning, compliance reporting, and organizational reporting requirements through data analysis.
Recruitment – Front Line Workers
- Screen and assess applications for front-line operational positions.
- Partner with hiring managers to identify qualified candidates and hiring needs.
- Schedule, coordinate, and conduct candidate interviews.
- Complete reference checks, background checks,
and related pre-employment screening activities.
- Maintain recruitment records and candidate information in HR systems.
- Support recruitment initiatives to ensure timely staffing of front-line positions.
Continuous Improvement
- Identify opportunities to streamline HR processes and improve operational efficiency.
- Participate in HR projects and initiatives focused on enhancing systems, processes, and employee experience.
- Recommend process improvements based on system data, user feedback, and business requirements.
- Perform other duties and responsibilities as assigned.
What You Bring
- Postsecondary education in Human Resources, Business Administration, Information Systems, or related fields.
- Minimum 2 years of experience in HR administration, ADP Workforce Now/HRIS administration, recruitment, or related HR function.
- Knowledge of benefits administration and employee lifecycle processes.
- Experience conducting interviews and supporting recruitment activities.
- Strong analytical and reporting skills with the ability to interpret HR data.
- Advanced proficiency with Microsoft Office Suite, particularly Excel.
- Excellent organizational skills with strong attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Demonstrated ability to manage multiple priorities in a rapid-paced environment.
- Knowledge of applicable employment standards and HR best practices is considered an asset.
