Job Purpose The Medical Office Assistant is essential in maintaining the efficiency and effectiveness of our healthcare operations. This role involves managing patient interactions and administrative tasks to support the smooth functioning of our office. The Medical Office Assistant serves as the first point of contact for patients, ensuring a welcoming environment and seamless communication between patients and healthcare providers.

Beyond daily tasks, this position is vital in upholding the overall patient experience and contributing to the reputation of our healthcare practice.

The Medical Office

Assistant plays a key role in enhancing operational workflows, improving patient satisfaction, and supporting the healthcare team in delivering exceptional care. By ensuring accuracy, timeliness, and professionalism, they directly influence the quality of service and create a supportive, efficient environment for both patients and staff.

Key Responsibilities

- Serve as the first point of contact for patients, providing professional and courteous customer service.
- Greet, check in, and assist patients while verifying health cards and demographic information.
- Schedule, confirm, reschedule, and manage patient appointments.
- Communicate appointment details and other relevant information to patients via phone, email, or text.
- Manage inbound and outbound telephone communications and respond to patient inquiries.
- Maintain accurate electronic medical records and update patient charts as required.
- Process incoming and outgoing correspondence, including emails, faxes, and medical documentation.
- Scan, file, and organize patient records and administrative documents.
- Coordinate communication between patients, physicians, technicians, and other healthcare providers.
- Manage online appointment requests and patient communications through clinic software systems.
- Process patient payments,



invoices, receipts, and other related administrative transactions.
- Support physicians and clinical staff with administrative and operational tasks as needed.
- Ensure patient confidentiality and maintain compliance with healthcare privacy regulations and clinic policies.
- Prioritize and complete administrative tasks in a timely and accurate manner.
- Contribute to a positive patient experience and support the efficient daily operation of the clinic.
- Perform ECG and/or Holter hook-ups (training would be provided)
- Act as chaperone if desired by sonographer/technician and/or patient

Experience, Education And Qualifications

- Minimum 1 year of experience working in a medical or healthcare office setting.
- Diploma or certification in Medical Office Administration, Healthcare Administration, or a related field preferred.
- Experience with patient scheduling, medical records management, and insurance billing processes.
- Proficiency in electronic medical records (EMR) systems and healthcare software.
- Demonstrated ability to manage front-office responsibilities, including patient intake, appointment coordination, and communication with healthcare providers.
- Solid understanding of patient confidentiality requirements and healthcare privacy regulations.
- Excellent organizational skills with the ability to manage multiple tasks in a fast-paced environment.
- Basic clinical knowledge and familiarity with healthcare procedures are considered assets.
- Excellent communication and interpersonal skills with a strong commitment to patient service.
- Previous medical office experience is required.
