Overview At Optimum Pulmonary Diagnostics, our administrative team serves as the vital first point of contact, ensuring a seamless experience for patients and referring physicians alike. In this position, you will manage high-volume multi-line phone systems to coordinate scheduling, perform patient outreach, and maintain clean daily clinic workflows using Healthquest EMR. This role is ideal for a detail-oriented professional who thrives in a fast-paced medical practice and is dedicated to delivering exceptional, compassionate patient care.
Responsibilities
- Patient Scheduling & Calendar Management: Handle incoming and outgoing phone calls to schedule, reschedule, and confirm patient appointments within Healthquest EMR.
- Reminder & Outreach Calls: Conduct proactive daily reminder calls and follow-ups to minimize no-shows and optimize clinic daily schedules.
- Inbound Call Navigation: Manage multi-line phone systems efficiently, triaging patient calls, addressing inquiries, and directing urgent clinical messages to appropriate medical staff.
- Patient Intake & Registration: Verify patient demographic data, provincial healthcare coverage, and insurance information, accurately recording all updates within Healthquest.
- EMR Workflow Support: Route incoming lab/diagnostic reports, process referral letters, and upload clinical documentation to patient charts within Healthquest EMR.
- Front Desk & Administrative Support: Greet patients upon arrival,
manage check-in/check-out flows, process payments, and assist with general office upkeep.
Skills & Qualifications
- EMR Proficiency: Hands-on experience navigating and managing schedules, charts, and billing/intake modules in Healthquest EMR.
- Call Handling & Communication: Strong verbal communication and active listening skills for managing multi-line phone systems professionally and empathetically.
- Customer Service Excellence: Proven ability to deliver patient-centered care, de-escalate scheduling conflicts, and maintain a welcoming tone.
- Time Management & Multitasking: Ability to balance phone management, patient check-ins, and administrative tasks in a fast-paced clinical setting.
- Medical Terminology & Compliance: Familiarity with basic pulmonary or medical terminology and a solid understanding of patient privacy regulations (such as HIA or HIPAA).
- Attention to Detail: High accuracy in capturing patient information, scheduling notes, and routing clinical messages.
