Department: Medical Affairs

Reporting to the Manager of Medical Affairs, the Program Assistant will join the Medical Affairs team and provide a wide range of administrative and coordination services, with a particular focus on supporting the Hospital’s physician recruitment & retention activities. Key responsibilities include, but are not limited to:

- Preparing and maintaining professional staff job postings
- Maintaining the updating Hospital’s physician recruitment website
- Coordinating interviews, site visits, meetings, and recruitment events.
- Coordinating travel arrangements and itineraries for physician candidates.
- Maintaining accurate physician recruitment databases, spreadsheets, and electronic files.
- Supporting the preparation of the annual Professional Staff Human Resources Plan
- Processing physician payments in accordance with established processes and procedures
- Scheduling meetings and maintaining calendars
- Assisting Medical Affairs team with the onboarding of new professional staff, including orientation activities
- Providing administrative support to hospital committees as assigned
- Collaborating with the Medical Affairs team to support ongoing initiatives and the implementation of new departmental initiatives
- Performing general clerical and administrative duties and other related tasks as assigned

QUALIFICATIONS

Certification/Experience/Knowledge:

- Successful completion of a College Diploma in office/medical administration, business administration, human resources or a related field
- Minimum two (2) to three (3) years recent office administration or human resources experienced, preferably in a medical/hospital setting required




- Experience working with physicians preferred
- High level of computer proficiency (Microsoft Word, Power Point, Excel)
- Computer literacy
- Valid G driver's license

Skills/Abilities:

- Highly organized, reliable, and collegial, with the ability to work independently and with minimal supervision
- Demonstrated initiative, sound organizational skills, and the ability to effectively manage projects and workload
- Strong verbal, written, and interpersonal communication skills, with the ability to handle confidential and sensitive information in a professional and discreet manner
- Excellent time management skills, with the ability to be flexible, responsive, and adaptable in a fast-paced setting
- Ability to manage multiple tasks, meet tight deadlines, and effectively prioritize competing demands
- Demonstrated good attendance and work record
- Commitment to supporting and contributing to a culture of safety and the prevention of adverse health events within the organization
- Bilingualism (Advanced level English/French) is an asset
