Project Assistant

Project Coordination & Operations

- Set up and maintain customer accounts in Jobber and QuickBooks.
- Schedule recurring maintenance services, remedial work, and special projects using Jobber.
- Coordinate and schedule subcontractors to ensure timely completion of work.
- Monitor subcontractor performance and verify completion reports and documentation.
- Maintain customer maintenance schedules and ensure contractual service commitments are met.
- Manage warehouse inventory levels and coordinate inventory replenishment.
- Source, research, and procure specialty materials, parts, and equipment required for projects.
- Ensure all required materials are available prior to scheduled service appointments.
- Coordinate the receiving, storage, and shipping of materials and equipment.
- Maintain current parts pricing and supplier information.
- Process and track insurance claims related to damaged materials and goods.
- Coordinate preventive maintenance and servicing of company vehicles.
- Conduct customer follow-up to confirm satisfaction and address service concerns.
- Gather customer reviews and testimonials to support company growth and reputation.




- Participate in regular management and operational meetings.

Marketing & Customer Engagement
- Assist with the development and distribution of quarterly customer newsletters.
- Prepare maintenance evaluation proposals and customer service recommendations.
- Support customer retention and business development initiatives.

Administrative Support
- Provide administrative and operational support to the Office Manager as required.
- Maintain accurate customer, inventory, and project records.
- Assist with invoicing coordination and reconciliation activities.

Job Type: Full-time Pay: $48,000.00-$52,000.00 per year
