About LearnFormulaLearnFormula is a global continuing education ed-tech company, proudly headquartered in Markham, Ontario, Canada. LearnFormula delivers continuing education to professionals across a range of regulated industries in 30+ industries and 6 countries.
About the roleThis is a cross-functional Project Manager role with real ownership. You'll sit at the centre of the company and keep every department moving: instructors, content onboarding, sales, and development. You won't manage any one function's strategy — you'll make sure the work across all of them is scoped, assigned, tracked, and delivered on time and on budget.
The person who thrives here is relentlessly organized, technically fluent, and completely self-directed. You'll be trusted a lot from day one, and you won't be micromanaged. In exchange, we need someone who chases down loose ends without being asked, spots the bottleneck before it becomes a fire, and is genuinely good with people while still holding the line on deadlines.
You should also be someone who reaches for automation by default. A meaningful part of this role is building the internal tooling — AI agents, bots, workflow automations — that removes repetitive work from every team, including your own.
What you'll ownCross-department coordination
- Run the master project plan across instructors, content, sales, and development
- Assign tasks, set deadlines, and follow up until things are actually done
- Chair recurring stand-ups and planning check-ins; publish explicit status updates leadership can act on
- Flag risks, dependencies, and slipping timelines early, with a proposed fix attached
Instructor team
- Coordinate instructor onboarding, scheduling, and deliverable timelines
- Be the reliable point of contact instructors come to when they need something unblocked
Content onboarding
- Own the content pipeline end to end: intake, review, production, QA, and publish
- Track every course in flight and keep the pipeline visible to everyone who needs it
- Tighten the process where it's slow, manual, or inconsistent
Sales team support
- Keep sales initiatives, campaigns, and follow-through on schedule
- Make sure sales has what it needs from content and development, when it needs it
Development liaison
- Translate business needs into clear, well-scoped requirements the dev team can build from
- Manage the request queue, priorities, and release timelines; keep stakeholders informed
- No coding required, but you need to be comfortable in technical conversations and hold your own in them
Systems, automation, and AI tooling
- Own and improve our project management and workflow systems
- Build AI agents, chatbots, and automations that cut manual work across departments
- Document processes so the company doesn't depend on any one person's memory
Budget and timeline discipline
- Track project spend against budget and raise variances before they matter
- Keep teams accountable to committed dates — firmly, and without damaging relationships
What we're looking for
- 3+ years in project management, operations, or a similar cross-functional coordination role
- Exceptional organizational skills — you keep systems, not sticky notes
- Strong technical aptitude: comfortable with project management platforms, integrations, spreadsheets, and troubleshooting tools yourself
- Hands-on experience building AI agents, chatbots, or workflow automations (e.g. LLM-based tools, no-code/low-code automation platforms, API-connected workflows)
- Demonstrated ability to work independently with minimal direction and still deliver
- Excellent communication and people skills — you can hold someone to a deadline and have them come back to you next time
- Process-improvement mindset: you notice inefficiency and fix it
- Able to work in office in Markham, Monday to Friday
Nice to have
- Experience in e-learning, EdTech, publishing, or continuing education
- Exposure to software development processes (Agile, sprints, ticketing systems)
- Formal project management training or certification (PMP, CAPM, Scrum)
- Budget or vendor management experience
Why join us
- Broad scope and real influence over how the company runs
- Autonomy and trust — you'll be given room to build things your way
- Direct access to leadership and a short path from idea to implementation
- A growing company where the systems you build will still be in use years from now
How to applySend your resume and a short note telling us about a process you fixed or an automation you built, and what it changed. Tell us specifically what tools you used. LearnFormula is an equal opportunity employer. We welcome applications from all qualified candidates and will provide accommodation during the recruitment process on request.
