The Property Management Assistant provides essential administrative, operational, and tenant-facing support to the Property Management Team. This position plays a key role in ensuring smooth daily operations across multiple properties by assisting with leasing, tenant communication, office coordination, data entry, and maintenance support.

The ideal candidate is organized, approachable, detail-oriented, and committed to delivering exceptional service to all tenants and visitors.

Qualifications & Experience

- Post-secondary education or equivalent experience in property management, administration, business, or a related field (preferred).
- Strong organizational skills, accuracy, and attention to detail.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with property management software (Yardi is an asset).
- Ability to work independently and collaboratively in a rapid-paced environment.
- Ability to maintain confidentiality and professionalism.
- Clear Criminal Record Check required.

Leasing & Tenant Support

- Schedule suite viewings for prospective tenants.
- Respond to leasing-related inquiries (phone and in-person) regarding availability, rental rates, amenities, and building information.
- Support lease-up activities for new and upcoming properties, including assisting with website startup content and uploading information as needed.
- Help tenants in the office with completing forms, making payments, and submitting maintenance requests.
- Assist tenants with Multi-Purpose Room (MPR) bookings, including processing forms, coordinating payments, and providing AV equipment when required.

Administrative & Office Duties





- Perform accurate and timely data entry in property management software (e.g., Yardi) and other databases.
- Enter and receipt tenant payments, including pre-authorized debit (PAD) rent payments.
- Take in-person payments by cash, cheque, or money orders as required.
- Maintain organized electronic and physical filing systems.
- Deliver and pick up cheques, payments, or documents between the leasing office and Head Office (491 Portage).
- Order office supplies, water deliveries, and other inventory items, ensuring adequate stock levels.
- Support general office upkeep, organization, and administrative tasks.
- Provide administrative assistance to the Director of Housing and Property Managers as needed.
- Prepare and deliver Notices of Entry, memos, and email blast communications to tenants.

Customer Service & Communications

- Answer and direct phone calls in a professional and courteous manner.
- Greet and assist tenants, applicants, and visitors in person at the front desk.
- Assist with responding to tenant inquiries both in person and over the phone.
- Coordinate maintenance requests by communicating with tenants and liaising with Facilities staff to ensure timely action.
- Create and schedule posts for property social media platforms to support tenant engagement and property visibility.

Other Duties

- Assist with special projects related to housing, leasing, or property management.
- Support improvements to administrative workflows and tenant service processes.
- Perform additional duties as needed to ensure smooth daily operations across properties.

Job Type: Fixed term contract Pay: From $22.00 per hour

Expected hours: 40.0 per week
